The World of Red Bull provides the forum for you to use your talent and passion, to develop & grow yourself and make an impact through our purpose of giving wings to people & ideas.The purpose of this role is to provide comprehensive administrative support to the Executive Assistant to the Managing Director and the broader Australian Leadership Team, ensuring the smooth and efficient operation of the office. Commencing in January 2025, the Administrative Assistant handles essential tasks such as preparing confidential documents, coordinating travel arrangements, and supporting meetings and events, enabling senior leaders to focus on strategic initiatives. Additionally, this role contributes to wider administrative services, engagement, and office culture by liaising with stakeholders, fostering a positive environment, and driving efficiency initiatives. Through proactive problem-solving, attention to detail, and collaboration, the Administrative Assistant significantly enhances the company's overall success and productivity.All the responsibilities we'll trust you with:PROVIDE ADMINISTRATIVE SUPPORTYou will provide administrative support to the EA of the Managing Director, Finance Director, Head of Operations and Managing Director. Prepare and edit confidential correspondence, reports, meeting minutes, pre and post meeting support and presentations. Coordinate travel arrangements, including flight details, hotel bookings, and itineraries, along with providing calendar support & management. Develop and maintain a high level of awareness of the business's activities and support leaders with their invoicing and expenses.RECEPTION AND OFFICE SUPPORTProvide daily lunch cover for reception (1 hour). Support our Reception/Office Coordinator with Culture Building initiatives. Collaborating within the wider Administrative function to bring efficiencies and projects to life. Assist in Online Help Desk support.CONFERENCING AND EVENTSWork with the EA to MD to fulfill the business' vision for national conferences and events, including annual national company conferences, end-of-year celebrations, management training conferences, and other events as required. Coordinate with other business assistants to ensure the successful execution of event logistics, including flights, accommodation, conference facilities, and internal communications. Ensure events run to budget, and outcomes are measured and analysed.KEY RESULTS AND DELIVERABLESSuccess in managing the overall administration for the EA to the MD, Head of Finance, and Operations Director. All travel requirements have been well-organised, hassle-free, and on budget. Calendars are up to date with all relevant information and content required for meetings is well-prepared. Worked effectively with wider administrative team to bring efficiencies and projects to life (and to a high standard). All events and conferences executed smoothly and within budget.Your areas of knowledge and expertise that matter most for this role:2 to 3 years of Administrative Assistant experience or 1 to 2 years of Executive Assistant experienceA keen interest in the World of Red Bull and experience within a complex, multinational company (preferably in a similar position)Well-developed oral/written communication skills, adept organisation skills and excellent listening skillsA team player with maturity to handle situations with confidentiality and professionalismAbility to work autonomously with minimal supervision, being proactive and showing initiativeAdvanced proficiency with Microsoft Office programs, including Outlook, Word, Excel, and PowerPointExperience in taking minutes, with good typing skills of at least 80wpm with minute-taking skills
