Administrations Officer

General Purpose The Administration Officer performs a variety of administrative tasks including answering phones, emails, and scheduling (staff rosters).
Reporting to the Senior Administrations Officer, collaborating with the Logistics Coordinator, and supporting managerial staff to ensure the day-to-day operations of the office run smoothly.
Main Job Tasks, Duties and Responsibilities: Provide accurate and timely administration and reception support to participants, employees, and other stakeholders. Work closely with the Senior Administrations Officer and Logistics Coordinator to ensure quality is maintained regarding work health and safety for clients and houses. Lodge and manage IT issues, ensuring timely IT response times from the outsourced provider. Assist in Human Resources duties such as recruitment and onboarding. Create, manage, and update shift rosters for the organization while observing rostering principles.
Co-ordinate and facilitate the administration of established rosters, ensuring shifts are filled and staffing levels are maintained and optimized. Manage the daily bus allocation. Assist in on-call duties on an agreed rotational basis. Manage the client filing system in consultation with the General Manager and Team Leaders, including the creation, maintenance, and archiving of such. Manage and maintain relationships with preferred suppliers for travel, accommodation bookings, and car hire. Assist with meetings, training, and function coordination, including meeting room bookings, car park bookings, and catering. Manage the ordering of stationery and office kitchen supplies to ensure an appropriate level of supplies are always on hand. Assist in preparing meeting agendas, meeting minutes, and sharing minutes with relevant stakeholders in a timely manner. Ensure clients' AT equipment is well maintained, including servicing and liaising with relevant stakeholders on equipment maintenance. Liaise with SIL houses on stationery orders. Monitor incoming and ongoing correspondence on admin email and work phones. Ensure office equipment and facilities are maintained in a fully operational manner. Identify, recommend, and implement improvement initiatives for administration functions that align with and support organizational quality assurance systems. Assist the General Manager and Senior Administrations Officer in delivering high-quality administrative support as required. Any other tasks allocated by management. Job Type: Full-time
Pay: From $66,000.00 per year
Schedule: 8 hour shift Fixed shift Monday to Friday Experience: Microsoft Office: 1 year (Preferred) Administration: 1 year (Preferred) Work Authorisation: Australia (Preferred) Work Location: In person
