Working for a highly regarded community service organisation who offer support to all walks of life in Australia; from children, families and the elderly, to those struggling with homelessness, addiction, mental health, financial or domestic challenges, this is a fabulous opportunity to make an impact and do good!The Administration Support Specialist is responsible for supporting the leadership team and the wider marketing & fundraising team to function effectively and to help achieve the organisational business and goals.Responsibilities:Provide administrative support to the Marketing & Fundraising leadership teamAttend Leadership Team meetings, and record and prepare minutes for distribution,maintain action list and follow-up as requiredDocument management (including maintaining SharePoint folders and files)Contracts and supplier record managementAdministrative support to the GM Marketing & Fundraising including calendar managementAdmin support to prepare Executive and Board papers as requiredProviding functional support as part of the Planning and Operations team:On-boarding & induction of new team membersCoordination of Team engagement activities, events/meetings/off-sitesOrganising and supporting with team training including maintaining recordsAccounts payables (processing invoices and credit card reconciliation, etc.)Accounts receivables and other billing (managing internal and external billing requests)Asset management – keeping track of all equipment ordering and disposalOffice management – keeping the floor area tidy and stock organisedManaging supporter records and CRM updatesSkill and experience required:4 years minimum experience in an administrative management roleReport writing skills and ability to summarise key issuesProven experience in typing letters, reports, minutes, agendasExperience in budgeting, and processing invoicesExperience in the collation of reports and statistical informationEffective written and oral skills, public speaking and presentation capabilitiesTech savvy with strong Microsoft Office experienceAbility to work unsupervised as well as an effective team player with a positive can-do attitudeProven record of building strong, effective, and consultative working relationships with key internal and external stakeholdersTrack record of managing specific projects and prioritise workload, work efficiently and manage simultaneous activitiesAn appreciation of the challenges involved in managing a diverse workforce within a not-for-profit environmentPowerPoint / Canva / InDesign experience with a creative eye is desirableIf you have the relevant experience, please get in contact ASAP for a discussion.Only candidates with
