Administration Perth Full Time Icon Cancer Centre Australia Join Our Team as a Patient Scheduling Coordinator in Radiation Oncology!
In this dynamic role, you'll be at the heart of patient care, managing and coordinating the scheduling of radiation therapy procedures using ARIA for Radiation Oncology.
You'll work closely with patients and their healthcare teams, including allied health, radiation oncology, medical oncology, radiation therapists, and nursing staff, ensuring seamless communication and collaboration across departments.
Your responsibilities will include scheduling radiation therapy simulations and treatment appointments, appointments with medical and nursing teams including subsequent and follow up appointments, managing these appointments around other patient activities including chemotherapy and allied health appointments, In doing so, you will prepare a seamless patient schedule and will be a key point of contact, communicating with patients and their families in person and over the phone, ensuring they receive timely appointments that meet their needs.
This role is essential in helping us meet important deadlines and waiting time targets, all while maintaining the highest standards of professionalism and patient care.

Key responsibilities: Primary oversight for radiation therapy scheduling and bookings Respond to emails, phone calls, and IM messages.
Make appointment reminder phone calls.
Provide information to patients regarding preparation for radiation therapy simulation and other upcoming appointments under the direction of the radiation oncologist & radiation therapist.
Schedule and document accurately in multiple EMR, billing, and computer systems.
Assist with transportation communication and coordination with outside entities.
Retrieve and scan patient records and forms into appropriate EMR systems Professional communication: answers the phone call, coordinates communication, provides information in accordance with established policies.
Establish and maintain effective professional working relationships with internal and external customers.
Provide and maintains patient confidentiality and follows all organisational policies and procedures.
Other duties as requested by the RT manager, Admin Manager, s or Oncologists.
About You: We are looking for someone with excellent communication skills and the ability to work as part of a team while also managing your own workload.

The role requires a considerable amount of computer work using specialist Oncology systems eg.
ARIA for scheduling in addition to the general use of systems such as Charm for medical oncology scheduling.
A knowledge of these systems would be an advantage, although training will be provided.
Ability to provide positive services and interactions with both internal and external customers.
Multi-tasker, detail -oriented, with the ability to keep up in a fast-paced environment, and adaptable to organisational changes.
Prioritises work to ensure all details are addressed and complete documentation is entered into the system.
Supports principles of continuous improvement with enthusiasm and energy.
Strong computer, problem solving, and organizational skills.Word, Office, Excel & ability to learn new systems quickly.
Ability to work within a team environmentand independently as necessary.
Excellent verbal communication, interpersonal, and telephone skills.
Ability to work in a fast-paced medical clinic.
