The School of Medicine offers a four-year Doctor of Medicine (MD) program that has been fully accredited by the Australian Medical Council of Australia and is highly ranked by graduates in national surveys. Key features include a focus on small group teaching and problem-based learning, combined with rich clinical experiences across the entire program. The School also offers several postgraduate health education programs to assist health professionals to develop their capabilities as educators and leaders and a Pre-Medicine Certificate at an undergraduate level. The School also receives Grant funding from the Commonwealth as part of the Rural Multidisciplinary Health Team program to develop a well-trained rural medical workforce that will reduce the disadvantages in future community health needs currently being experienced widely in rural and remote Australia.
About the roleThis position works in collaboration with academic and professional colleagues to provide effective and efficient administrative support for the Rural Clinical School, School of Medicine, and assisting the Executive Officer under general direction to support the day-to-day administration of the Rural Clinical School. This position reports to Executive Officer and by extension to the Associate Dean, Rural.
Key ResponsibilitiesProvide effective and efficient administrative support in all matters pertaining to the efficient day-to-day administration of the School, including the provision of administrative support for staffing-related processes and activities;Assist with the management of School agreements; and finance and procurement.Assist with the preparation of the School's budget submissions and accurately managing expenditure.Provide advice to School staff members regarding business operations processes in line with University policy, procedure and guidelines.Provide administrative support to School committees, including the preparation of agendas and minutes.Provide welcoming, informative and accurate service support to the Lithgow reception desk as required;Provide general administrative support including photocopying, mail sorting and dispersal and record retrieval;Preparation and processing of accounts payable vouchers and requisitions for approval;Reconciliation of creditor accounts;Maintaining schedules for the administration of motor vehicles for the Rural Clinical School;Data entry for analysis for reports and sundry research as required;Provide assistance in the planning and delivery of key Rural Clinical School events;Comply with all other reasonable training and duties as identified by the line manager (or delegate);Comply with University policies and procedures in all aspects of their work and conduct;Qualifications, skills & experienceA Diploma level qualification with relevant work-related experience, or an equivalent combination of relevant experience and/or education/training.Proven administrative experience in a busy, fluid environment (higher education experience highly regarded)Knowledge of administrative policies and procedures and the ability to interpret and apply themDemonstrated success in the delivery of quality client serviceExcellent interpersonal and communication skillsExcellent computer skills including email, internet, MS Office (including SharePoint) and student administration systems and the ability to learn and implement new systemsHighly developed organisational and attention to detail skills with the demonstrated ability to meet deadlines.Proven capacity to work both independently and as a collaborative team member.Good interpersonal and the ability to work in a team environment;Proven time management skills, combined with an analytical approach to problem solvingA commitment to maintaining confidentiality with all documentation and details;BenefitsFast paced environment with opportunity for professional growthGenerous training and development opportunitiesFriendly and collaborative working environmentHow to applyPlease apply online with a resume and cover letter outlining your suitability for the role.
