Ongoing Opportunity in our Open Adoption Records Access (OARA) Unit Location – Parramatta – Community Services Statewide Services. Employment type – This is an ongoing opportunity within our Open Adoption Records Access Unit. Salary – Clerk Grade 3/4 - $79,032 to $86,539 per annum + Superannuation and Annual Leave Loading. Your role This Administration Officer reports directly to the Director of Open Adoption Records Access (OARA) and provides daily mailbox and dairy management.
You will provide professional and effective administrative and office service support to facilitate the smooth operation of OARA and the delivery of its services.
What you'll do Manage the Director mailbox and provide diary management to the OARA Director Provide a wide range of administrative support services including financial management assistance, invoice management, travel bookings, records management, project support, diary management and other general administrative functions. Manage and process business information in accordance with standards and guidelines to ensure all information is accurate, stored correctly and accessible as required. Use relevant technology to prepare documentation and presentation material to support business unit managers and directors Liaise and work across OARA units to provide tailored support and develop effective working relationships. Implement and maintain effective administrative systems and processes and make recommendations to improve efficiency and better support the business unit in delivering services Build and maintain relationships with other business areas to effectively arrange and set-up for meetings and manage the flow of business information and activities Provide support and assistance to other members of the administration team as required, to ensure efficient and effective functioning of the team Provide customer service and reception duties as required, to act as a first point of contact for the business unit to ensure issues are resolved or escalated appropriately. Liaising appropriately with a range of internal and external stakeholders with an understanding of their interests and relationship with relevant projects or programs. What we're looking for Experience in providing high level of customer support for internal and external stakeholders. Excellent communication skills, written and verbal. Ability to work independently and as part of a team. Strong ability to build and maintain relationships. Proven ability to manage competing priorities with tight timeframes. High level of knowledge, skills and experience with Word and Excel. Appointments are subject to reference checks and the following pre-employment checks:
