We are currently looking for a full time permanent Administration Officer to provide administrative support, respond to telephone and email enquiries, and manage correspondence for our Trust Account team.

The Society leads the regulation of trust accounts for approximately 4,800 law practices in NSW, with over $7 billion held in trust. It is fundamental to the protection of consumers, and the reputation of the legal profession, that solicitors comply with their legal obligations in handling trust money (Trust Obligations).
About the team The Trust Account Department plays a critical role in ensuring this occurs by detecting fraud and investigating breaches, operating compliance systems to ensure that solicitors are meeting their Trust Obligations, supporting members, and the profession more broadly, through education, tools and resources to make it easier to comply with their Trust Obligations. We are a multi-disciplinary team that is part of the Legal Regulation Department of the Law Society.
About the role Reporting to the Team Leader, you will provide administrative support to the Trust Accounting Team. You will respond to telephone and email enquiries, manage correspondence and ensure law practice trust records are kept up to date on our internal databases.
What you'll be doing Provide administrative support to the Trust team including management of team meetings, managing office supply requests and liaising with building management to escalate any reported office issues.Receive telephone calls on our dedicated phoneline, answer (email and telephone) enquiries of a general nature in respect of appointment/termination of External Examiners, open and close trust bank accounts and trust account authorised signatories. Liaise within the team to ensure all trust enquiries are actioned within agreed timeframes.Management of trust correspondence including sending and receiving regular and ad hoc emails/letters, filing of correspondence and preparing status reports of outstanding actions from correspondence.Preparation of monthly and quarterly trust performance reports. Preparation of other ad hoc reports to review and validate in our internal databases.Maintain file notes/correspondence registers when notifications are received.Demonstrate and encourage behaviour which is consistent with both legislative and organisational requirements in respect of Equal Employment Opportunity.Create, sustain and seek to enhance an environment in which the provision of quality service to external customers is created and understood by all staff.Maintain a safe and hazard free work environment.About you Excellent telephone manner and telephone answering skills.Excellent written and verbal communication skills.Excellent administrative skills including organisation, planning, and prioritising skills.Advanced Microsoft office skills including Teams, Word, Excel, Powerpoint and Outlook.Previous experience using Power BI and Adobe Marketo Engage would be advantageous.Be ethical and professional and uphold and promote the Law Society of NSW values.Provide customer focused services in line with the Law Society of NSW objectives.Communicate clearly, actively listen to others and respond with understanding and respect.Achieve results through the efficient use of resources and a commitment to quality outcomes.Be proactive and responsible for own actions, and adhere to legislation, policy and guidelines.Be open and honest, prepared to express your views and willing to accept and commit to change.To apply The Law Society of New South Wales is committed to building and maintaining a respectful and inclusive workplace, appointing the best person for the role and supporting diversity.
