To provide high quality administrative support to the City Lifestyle Department, including the Department Manager, supporting the effective and efficient delivery of services to the Hume community.
What you'll be doing: Communicate with City Lifestyle staff to develop, maintain and improve office systems, procedures, and protocols to ensure compliance with Council policies, procedures, and guidelines and to meet Department objectives.
Provide diary and appointment management to the Manager City Lifestyle.
Support the processing and production of correspondence, reports, minutes, reports, and discussion papers initiated within the Department.
Coordinate Department approvals and provide quality assurance of formal correspondence.
This includes assistance for the Council rolling program and Councillor requests and queries, when required.
Respond to internal and external requests for information, customer requests, and under the guidance of the manager prepare / reply to general correspondence.
Schedule meetings, appointments, and support the planning and delivery of departmental meetings and events.
This includes arranging catering, booking venues, minute taking, and advising participants and external stakeholders as required.
Undertake Human Resources processes in the recruitment of staff for the City Lifestyle Department.
Support the Arts, Culture and Events team in administrative matters, including permitting and events administration support.
The skills and experience you'll bring to the role: Demonstrated administrative experience in supporting the effective and efficient operation of a department or similar, including preparation / reply to general correspondence, support purchasing/invoicing requirements, recordkeeping / CP Content manager and the collation of reports and briefing notes.
Commitment to quality customer service provision and the ability to follow through all enquiries effectively and efficiently.
Demonstrated ability in dealing with difficult situations, resolving problems, and presenting a positive image of Council.
Demonstrated ability to communicate effectively, both verbally and in writing, with a broad range of people from diverse backgrounds and cultures.
The ability to speak community languages would be advantageous, however is not essential.
Ability to follow policies, procedures, and guidelines.
Knowledge of Council software applications including Finance One, CP Content Manager, Microsoft SharePoint and Teams is desirable.
Required Certifications & Qualifications: Recognised qualifications in administration, or similar, or relevant experience in administration with lesser formal qualifications Current driver's licence.
