Based in Bunbury two days a week, the Administration Officer will support the effective operation of our Leaving Care Services including the provision of information and practical assistance to people presenting at the office.
As the first point of contact for clients and visitors both face to face and over the phone, you will provide administrative support requiring a high degree of judgement, initiative, confidentiality, and sensitivity.
The position will require you to manage and complete a range of administrative tasks to enable the effective running of the programs, including supporting employees to complete administration duties in an accurate and timely manner, and you will be comfortable managing multiple competing priorities including requests and queries from staff, clients, and the public.
Your Key Responsibilities Provide a welcoming and supportive experience for all people engaging with our services.Conduct a range of administration tasks including but not limited to meeting minutes taking, data entry, responding to communications from clients, SharePoint document filing, booking appointments, ordering supplies, purchasing and accounts payable, managing email inboxes, answering the telephone and ensuring voice messages are responded to in a timely manner to ensure the efficient organisation of the office.Action administrative support to the Program Manager including organising meetings, assisting with basic diary management, and administrative projects as directed.Highly professional and courteous, verbal, and written communication that is aligned with the Mission Australia Code of Conduct.Assist in the coordination of financial processes including preparation of budget information, journal entries and use of the financial system.Maintain all fleet vehicles and respond to all building maintenance issues as they arise.Requirements for Success With significant experience in an administrative role and demonstrated ability to work with vulnerable people, you will be confident managing competing priorities and working with people displaying challenging behaviours.Relevant qualifications (e.g.
Certificate in Business Administration) - highly regarded.Competent in using computer packages such as Microsoft Office including Word, Excel, and Power Point.Exceptional level of customer service skill and experience.Demonstrated solutions focused thinking and problem solving.Experienced in the use of databases and online information systems and records management.High level organisational and time management skills.Excellent analytical, literacy, numeracy, and verbal communication skill.Client focused and respectful with vulnerable people who are accessing our services.Full driver licence with no restrictions.Before starting work with us, you will need to undertake a national police history check, qualifications, and referee checks, and have a clearance to work with children/vulnerable people.
