About the office This role sits within the Pro Vice Chancellor, Student Experience portfolio which includes Student Success, Indigenous Education, Chaplaincy, Libraries, Student Life and Wellbeing.
About the role This position reports to the National Manager, Student Wellbeing and is required to work in collaboration with academic and professional colleagues to provide effective and efficient front line administrative support across all areas for the Student Wellbeing office located on the Fremantle campus.
Key Responsibilities Support the administrative function across all areas of Student Wellbeing incorporating Student Counselling Service, Access and Inclusion, , Student Grievances and Student Hardship Assistance Fund.
Schedule and manage appointments and timetabling events, coordinate meetings, prepare minutes and organise correspondence using a full range of database software.
Work alongside Student Wellbeing colleagues as a first responder to students, triaging student enquiries and offering appropriate referrals to ensure student safety and wellbeing.
Assist the Team Leader Student Counselling with the administration of policies, procedures, guidelines and forms, including contributing to various projects (including events) as required.
Support the coordination, planning and delivery of Student Wellbeing engagement events.
Provide a full range of administrative services for the National team of Student Wellbeing.
Support the maintenance of internal databases and registers and management of day-to-day requirements of the office.
Communicate with internal and external stakeholders and provide information and advice in line with policy and procedure directives.
Qualifications, skills & experience Completion of a diploma level qualification, or an equivalent combination of relevant work-related experience and/or education/training.
Established administrative experience, preferably in tertiary or other education sectors.
Mental Health first aid trained, or equivalent, with the ability to work alongside clinicians to support students in distress.
Demonstrated organisational skills and ability to exercise initiative and judgment as appropriate, and work in a flexible and dynamic environment with competing priorities to achieve objectives.
Strong interpersonal and communication skills (written and verbal).
Engaged and cooperative with an ability to work within a multidisciplinary team and with a broad range of client groups internal and external across the university.
Prepare and collate documents with high quality accuracy and attention to detail.
Capacity to coordinate office administration systems and advanced in various software packages including Microsoft Office Suite.
