Join Our Team as an Administration Manager at TSS Total Surveying Solutions! At TSS Total Surveying Solutions, we have an exciting full-time opportunity for an Administration Manager to join our dynamic team in Melbourne.
We are a leading surveying company based in Port Melbourne, providing high quality services across construction, infrastructure and land development industries. Our team is committed to precision, innovation and delivering exceptional results for our clients.
The successful candidate will be responsible for leading and managing the Melbourne office to ensure consistent smooth business operations while also supporting the Senior Leadership team with strategic planning and operational efficiencies.
Key Responsibilities: Report on the Melbourne based operations financials on a monthly basis to the Commercial Manager.Manage budgets, including tracking costs, processing invoices, and reporting financial performance.Foster a collaborative and supportive work environment.Oversee and optimise daily administrative operations including office management and facilities management.Manage all documentation used within the organisation, overseeing all documentation control and quality of documents used internally and externally.Ensure all documents, processes and procedures are compliant with legislation. Liaise with human resources for all required updates.Participate in long term planning and contribute to the development of business strategies related to operational support.Develop and maintain resource schedules, tracking progress and making adjustments as needed to ensure successful project delivery in line with the budgets.Assist the National Operations Manager in resource planning, allocation, and monitoring to ensure optimal team performance and project execution.Lead projects that will improve internal processes such as document management, data systems and communication tools.Liaise with internal teams and external stakeholders to ensure clear communication and alignment throughout each project lifecycle.Organize and attend kick off meetings, taking minutes, and ensuring action items are followed up and managed appropriately by the Survey Managers.Maintain up to date records at all times.Oversee the Melbourne specific marketing material.Manage all internal and external communications in line with our brand.Qualifications & Skills: Proven experience in an administration role.Exceptional organisational and multitasking skills, with a keen attention to detail and a track record of driving efficiency improvements.Excellent communication skills, both written and verbal, with the ability to liaise effectively with clients and team members.Ability to work well under pressure and manage competing priorities.A team player with a proactive and problem-solving mindset.A tertiary qualification in business, or a related field is desirable.Why Join Us?
