The role is accountable for providing value support with a variety of tasks including administrative support to the National Operations Manager and the broader national operations team, professional assistance, and business-related activities as required. You will be working within the Bupa Medical Visa Services team, that provides health assessments in a professional, caring and respectful way. Our main service is the provision of visa and migration medical services to the Department of Home Affairs. This includes provision of onshore immigration medical examinations through Bupa centres and a network of partner centres nationally.
The occupant of this role will contribute to the delivery of a service recognised for its exceptional customer experience, outstanding client outcomes and highest level of clinical safety and quality. This is a key BMVS role delivering exceptional performance, ensuring Bupa is loved by customers (including Home Affairs).
Key accountabilities include: Administrative support: Provide administrative support including but not limited to preparing presentations, spreadsheets and documents as requested.Establishing and maintaining spreadsheets to track various measures; receiving, prioritising and distributing incoming emails.Administering monthly reports as required, and other administrative support as needed.Organise meetings, teleconferences and videoconferences, including room and catering bookings, technology coordination.Agenda preparation and circulation, minute preparation and distribution, and pre-circulation of meeting papers to participants; coordinating team functions and events.Financial administration, ensuring all invoices and credit card expenditure is processed accurately and timely, and allocated to the correct account and cost centres.Organising all travel requirements and expenditure processing for the National Operations Manager and, at times, the team if required.Other Areas of Responsibility: Operational duties as directed by the National Operations Manager to support the business goals.Legal and regulatory compliance, adherence to internal operating procedures together with the management of business risks is the responsibility of every Bupa employee.Ensure that Bupa Australia's Health & Safety policy and associated policies and procedures are effectively implemented.About You: Proven business experience with a focus on operational and process management and improvement in a service-related environment.Sound demonstrable experience equivalent to supporting senior professionals and large teams.Advanced skills with Microsoft Office including; Microsoft Excel, Teams, Word, PowerPoint, and Visio as well as an ability to adapt and use new software.Ability to analyse and interpret a range of data and results, identify opportunities and build recommendations in relation to improved performance.Professional presence, presentation and interpersonal skills, including the ability to work with and across multi-team environments.Attention to detail and follow up to ensure accuracy and timeliness of work.Ability to 'think on your feet', work independently and with clarity of delivery.Highly organised and proven ability to plan and manage setbacks with ease.Excellent verbal and written communication skills, including substantial experience preparing presentations.Experience in the healthcare industry and working with government bodies (desirable).We've got your back: The special thing about Bupa is that care is at our core and will always be a part of how we operate.
