Administrative Assistants (Administration & Office Support) Full time Universal Cranes is a privately owned family business that operates mobile crane hire branches throughout Queensland and New South Wales. We have a fleet of 200 cranes ranging from 3 T to 1200 T, including minicranes, Frannas, all-terrains, and crawler cranes. Universal Cranes began as a family crane hire business in 1993 and has grown to become a national crane hire company. We pride ourselves on maintaining a family business service culture while providing our clients with a national high-capacity fleet. The Roma branch of Universal Cranes has been serving the local crane hire market for over 10 years, earning a strong reputation. Our fleet includes 8-10 mobile cranes, 4 trucks, and a dedicated local team of 13 personnel. About the Role: To be considered for this role, you must demonstrate excellent communication skills, with the ability to coordinate office operations autonomously and cohesively with the broader team. You will have a proactive mindset, be a team player, and possess the flexibility to meet the changing needs of the business. Reporting to the Branch Manager, duties include but are not limited to: Overseeing the day-to-day office operations to ensure a smooth workflow. Coordinating daily administrative activities to ensure efficient operation of the branch. Ensuring compliance with health and safety regulations, including PPE management. Assisting in scheduling and coordinating crane hire services, including communication with clients and field staff. Handling incoming calls, emails, and inquiries, providing excellent customer service. Assisting Branch Manager with the preparation of reporting requirements. Coordinating logistics and managing travel arrangements. Managing the filing of documentation. Managing uniform/PPE ordering and maintenance. Raising purchase orders and monthly reconciliations. Managing office budgets and ensuring cost-efficiency. Facilitating effective communication within the office and with other branches. Verifying and validating timekeeping information and liaising with payroll for processing. Coordinating training and inductions for field staff. Maintaining compliance documentation for personnel and equipment. Collaborating with the team to improve office processes and enhance overall efficiency. About You: Minimum 5 years of administration experience in a similar role. Excellent communication and interpersonal skills. Proficiency in diary management and experience with Microsoft Outlook. Strong organizational and time management skills. Experience with financial management and reporting. Proficiency in MS Excel and Word; experience with Net Suite Oracle is preferred. Ability to work independently and as part of a team. Attention to detail and a proactive attitude.
