POSITION DESCRIPTION Position Title: Administration Assistant/Client Service
Reports to: Office Manager
Location: Hervey Bay & Maryborough
Hours: 40 per fortnight
Position Objective: Provide customer service to prospective and existing clients, maintain client records and co-ordinate the distribution of meals for Meals on Wheels Fraser Community.
The ideal candidate will be able to multitask with ease, prepare quotes, engage with staff & volunteers, respond to any customer queries/complaints in a professional and prompt manner.
Our Values: TrustRespectAccountabilityInitiativeTeamworkServiceKey Responsibilities: Administration Support: Provide administration support to the team and perform administrative tasks to assist in the management of the office in an organised, efficient, and client-focused manner.Maintain filing systems and ensure the proper retention, protection, and disposal of records.Manage data entry and other record-keeping tasks.Carry out any other duties within the limits of the employee's skill, competence and training.Communication and Customer Service: Be the first point of contact for service users.Manage communication channels, such as phone calls and emails.Able to communicate, empathise and understand the needs of the elderly, frail, and people with disabilities.Able to work as part of a team, and to work with minimal supervision.
Client Service: Co-ordinate and distribute daily meal orders.Sort & pack meals for deliveries.Referrals to My Aged Care; contact prospective clients, load service information into the MAC portal.Advise clients regarding dietary & distribution changes, including maintaining and updating client information.Tasks are undertaken in an efficient and timely manner with 98% accuracy of information entered into the MAC portal & client database.
Other Duties: Adhere to all organised policies, procedures, Aged Care Quality Standards, and practices.Comply with Workplace Health & Safety Standards.Complete all training requirements.Perform any duties as reasonably directed by the Manager.Safety and Wellbeing: Physically able to lift and carry meal trays and bags.Long periods of standing.Knowledge of Food Safety standards – hold, or willingness to obtain, Food Safety Certificate.Selection Criteria: Sound written and verbal communication skills, including the ability to communicate effectively with staff, volunteers, clients, and customers.Sound computer skills, particularly in the use of Microsoft Office Suite and the ability to acquire skills in MOW database program specific MOW.Proven ability to plan and prioritize work to achieve required outcomes.A genuine desire to work with the aged, frail, and disabled members of our community.Physically able to lift and carry, and able to stand for extended periods of time.Qualifications/Licences: Mandatory: A strong work ethic.A mature minded person who can work autonomously and amongst a team.Attention to detail sits at the core of this role.Ability to use Excel Database and Spreadsheets.Sound knowledge of MS Office.Excellent verbal and written communication skills.Pleasant phone manner.Demonstrable ability to multi-task and adhere to deadlines.Licences: Current Class C Driver's LicenceMandatory Training: Workplace Health and SafetyAged Care Code of ConductAged Care Quality StandardsWorkplace BullyingCommunication with people with DementiaFood SafetyTexture Modified MealsConditions of Employment: Status: Permanent Part Time
