This role is specifically created to support the Grant Funding from an organisation who wishes to have funds managed by the YMCA Queensland for Schools' Breakfast Program.YMCA School Breakfast Program is recruiting an Administration Assistant on a Fixed-Term Full-Time basis to join our team located in Logan.About the roleAs an Administration Assistant here at the Breakfast Program, your role will be to ensure you are well organised to support the ongoing development and growth of the team in the day-to-day operations. You will be able to support an important need of the program and be proactive in communications with key stakeholders, managers, and people of the program.What will my time look like?Support the management of a workplace that fosters diversity, providing equal employment opportunity and a respectful, inclusive workplace.Coordinate and participate in online meetings and presentations for the YMCA Schools' Breakfast program relating to funding, and work with schools for solutions. Arrange new or replacement small equipment that meets the grant-approved supply list.Check the financial spreadsheets of I&E's of grant funding management monthly.Generate online vouchers and accounts for schools for online purchasing, reimbursement of invoices/receipts for food purchased by schools for their breakfast, lunch, and emergency family vouchers/hampers. Maintain records of used and closed completed invoices and statements, and manage voucher tracking for acquittals.Follow up with schools who cease using funds for their breakfast/lunch program and/or fail to distribute Family Vouchers.Supply weekly updates to the Schools' Breakfast Manager on progress and any issues.Take reasonable care to ensure their own safety and health and that of others, abiding by their duty of care provided for in the legislation.Actively work within a team environment to ensure safe, timely, and effective setup, class delivery, and pack-up.Am I a good match?2-3 years' experience as an administrator in a medium to large organisation.Demonstrated ability to communicate effectively at all levels.The ability to organize, multitask, and prioritize.Ability to self-motivate and work autonomously.Initiative and a solutions-focused mindset with good time management skills.Demonstrated ability to work effectively with minimum direction and as part of a team.Ability to maintain confidentiality.Sound knowledge of computer systems, including an ability to use the Microsoft Office suite of programs.Currently possess, or be willing to obtain, a positive notice Blue Card in accordance with the Working with Children (Risk Management and Screening) Act 2000.What's in it for you?We offer a collaborative and supportive work environment where your contributions will make a significant impact.
