ABOUT THE ROLE This position provides general administrative support to staff located within the Vice Chancellery (key members of the Senior Executive of the University). The position reports to the Executive Assistant to the Vice Chancellor.
Key Responsibilities Provide support and general administrative assistance to the Vice Chancellery staff Assist in stationery orders, word processing tasks including preparation of documents scanning/photocopying and printing. Manage the reception desk at the Vice Chancellery office including welcoming all guests, answering switchboard calls and enquiries and sorting mail. Offer hospitality to all visitors including catering for meetings, ordering coffee and day to day management of the kitchen and supplies. Management of the document archives and file management systems. Oversee the calendars for Vice Chancellery meeting rooms and room booking/parking requests. Provide support for event preparations and assist with on- campus and, from time to time, off-campus events (i.e., Graduations), and attend as required; and. Other duties as directed by the Executive Assistant to the Vice Chancellor. ABOUT YOU Demonstrated administrative experience, preferably in tertiary or other education sectors. Demonstrated interpersonal and communication skills (both verbal and written). Ability to follow instructions and work effectively as part of a team. Proficient in Microsoft Office suite and Zoom. Ability to learn file management systems. Ability to act with discretion when dealing with confidential and sensitive information. Supportive of the Objects of Notre Dame as a Catholic University. Completion of a Certificate III or equivalent combination of relevant experience and/or education/training. Hold a current Working with Children Check or willing to obtain. Hold a valid driver's licence.
