Our Company We are a specialist consultancy based on the Sunshine Coast providing town planning and allied professional services to diverse clientele throughout Queensland and interstate. Our firm has been established for over 10 years and is growing from strength to strength.
About the Role We are seeking a dynamic and energetic Administration / Team Assistant to provide project and administrative support to our innovative team of professionals in the planning and design field. The ideal candidate will bring energy and enthusiasm to the team, thrive on helping others, have strong admin skills and an interest in town planning, be passionate about helping the business and supporting the creation of a strong performing and collaborative team environment.  
Your day-to-day achievements will include:
Greeting and welcoming clients and visitors to our office in a warm and hospitable mannerHandling incoming phone calls, emails, and correspondence in a prompt and efficient mannerMaintaining a tidy and organised reception area to create a positive first impressionPrioritising requests from your team, including staff working remotelyProviding administrative support to the team, including diary management, scheduling appointments, organising files, managing the office supply inventory, filing, data entry, document management, travel booking, invoicing and expense claims.Provision of support to the team with the preparation of minutes, agendas, letters, town planning reports, submissions, presentations and statutory forms.Performing other general office duties as required to support the smooth operation of the businessQualifications and experience We are looking for a responsible and reliable person.  To be successful I this role, you will:
Have a minimum 3 years office experience in a team environment, subject to work pressures and competing demands.Possess previous experience in roles such as project administration or any capacity involving project support and allocation within a client-facing environment is desirable. Have strong general administration skills, including phone and email etiquette, appointment scheduling, and client interaction.Be meticulous in your work with strong attention to detailand accurate data entry. Effective communication time management and organisational skills with a high level of professionalism are a 'must have' too.Possess demonstrated proficiency in Microsoft Office software applications to produce high quality documentation. Experience with Adobe InDesign and Canva is also desirable.Have previous experience using MYOB or Xero in an administrative role – particularly invoicing, purchasing and reconciliation.Be self-motivated and have the ability to use common sense and initiative.Be able to work both independently and collaboratively in a team with a 'can do' attitude.Be able to multi-task and manage competing prioritiesPossess a valid Drivers LicencePrevious experience within a town planning or professional services environment desirable
