Beaumaris VIC 3193 Position Objective Provide the first point of contact for the organisation and coordinate all incoming communication and documentation, directing to appropriate staff. Ensure all administrative equipment and scheduling is completed accurately whilst maintaining utmost confidentiality in all tasks. Primary duties and responsibilities; Utilise Rostering Software Program (Roster Live) Perform data entry ensuring accuracy and conciseness (iChris) Utilise Microsoft office applications – word processing, spreadsheet, internet and emailing Communicate effectively via written, technological, oral and interpersonal avenues Maintain current understanding of Award and Industrial Relations Legislation Coordinate Supervision database, communicate identified issues to Manager - People Support and Culture. Identify operational issues and communicate to Manager - People Support and Culture Provide administrative assistant to Manager – book appointments and prepare paperwork when necessary Coordinate new employee paperwork, checking all paperwork is submitted and liaising with payroll Coordinate new employee hard copy and electronic file Maintain employee personnel records both hard copy and electronic Coordinate filing to be sent to archiving Provide support for Roster Coordinators Conduct reference checking on new applicants when required Ensure Working with Children Checks are up to date for all new and current employees Ensure NDIS Worker Checks are up to date for all new and current employees Ensure Police Checks are up to date for all new and current employees Record and document disqualified carer check information in databases Ensure training is recorded and filed appropriately Track and maintain all employee Comprehensive insurances, driver's license and first aid certificates Attend relevant meetings and take minutes when directed Ensure that all relevant legislation and Allambi Care policies are abided by and knowledge is current Ensure confidentiality of all communication in and out of the organisation is maintained at all times. Essential Criteria Perform data entry ensuring accuracy and conciseness File and maintain client database records both digital and hard copy Experience in Prioritising, organising and completing set tasks given according to demanding time lines Experience in coordinating and liaising professionally with multiple stakeholders. Negotiate and achieve positive outcomes when problem solving and conflict resolving. Work autonomously, independently and as part of a team Utilise Microsoft office applications – word processing, spreadsheet, internet and emailing Strong and effective communication via written, technological, oral and interpersonal avenues Hold a minimum of Cert 3 Business Administration Desirable Experience in Out Of Home Care programs. Knowledge of Allambi Care policies and procedures What is on offer?
