We are seeking an Administration Assistant/Officer to start ASAP!Pay: $46.65 per hourLocation: Darwin CityContract Type: Temporary until end of Jan - potential to extend (Full-Time hours)Your new companyThe position is responsible for providing efficient and effective administrative, secretarial, and reception support to the Anthropology Branch.Your new roleAssist the Administration Officer and Executive Assistant by providing administrative and logistical support to the Anthropology department, including the organisation of travel, processing of Travel Approvals, Fieldwork Leave requests, booking of fleet vehicles, and general reception duties.Assist with the recording and monitoring of staff attendance including maintenance of the staff movement calendar and completing fortnightly attendance reconciliations.Assist Administration Officer in providing routine financial and procurement support to the Branch, including raising purchase orders, tracking specialist equipment and stationery purchases, and reviewing monthly expenditure reports.Assist Administration Officer with the engagement of anthropology consultants, including the preparation and tracking of consultant contracts, financial oversight of consultant invoicing and payments, and maintenance of relevant registers and documentation.Assist the Executive Assistant with organising training workshops and seminars, including venue and catering booking, and liaison with training providers.Assist the Administration Officer with updating Administration manuals and Administration sections of the Branch Manual.Assist the Administration Officer and Executive Assistant with clearing the backlog of filing documents and emails in to Trim.Perform any other reasonable tasks and duties that are required, that are within the scope of your position classification, service area and skill set as required.Adhere to the NLC Code of Conduct and work in a manner which is professional, respectful, and collaborative to foster sound working relationships within your immediate team and the broader organisation.Ensure your personal health and safety and that of others by undertaking your duties and tasks in a safe manner and complying.Report all hazards and incidents to your direct supervisor immediately and complete all incident reporting requirements within the timeframe specified.What you'll need to succeedDiploma in Business Administration and/or Five years minimum relevant experience in a similar level role.The ability to manage projects, use judgement, decision-making and problem-solving skills to achieve outcomes and meet tight deadlines.Ability to handle sensitive and confidential information in a professional manner.The ability to work independently, to manage priorities, use judgement in decision-making and solving problems and to coordinate multiple and competing tasks to achieve outcomes and meet tight deadlines.A high level of computer literacy, including expertise in the various standard office software packages, including the use of Microsoft Office Suite, and an ability to prepare documents and communications within required formats, standards and level of accuracy.Demonstrated understanding of, and interest in, the lived experiences of Aboriginal people in the NLC region.
