The Role: Northern Health employs senior and junior medical staff to support clinical activities across all its campuses. The Medical Workforce Unit (MWU) is responsible for medical workforce planning and the recruitment of senior medical staff (SMS) and junior medical staff (JMS) across Northern Health. The MWU is also responsible for providing employee service functions to medical staff and for providing policy advice on issues relating to employment of medical staff at Northern Health.
Reporting to the Operational Director of Medical Workforce, the Administration Officer is responsible for delivering administration support for the Medical Workforce Unit and offering reception services to all people entering the Unit. This position will also offer support the Junior Medical Coordinators.
Key tasks to be undertaken are as follows:  Assist with Office administration/ reception, answering all calls coming through reception deskand walk in queries screening Management of inbox Preparation of statement of service, completion of rental references, redirect legal team queries to correct area (SMS/JMS) Stationery ordering & general purchasing Maintenance orders for Department and ressies' quarters upon request from JMSA Sorting of mail for JMS and SMS and redirecting a required to correct unit mail slot in the mailroom Advising switchboard oncall details that are not picked up by the reporting portal from RON Assists with IT account modifications, car parking requests and ID badge Participation in MWU oncall roster Other duties as directed by the Operational Director Medical Workforce To be successful in this role you will have: Exceptional sense of customer service  Experience working with Medical Staff in a Public Health environment will be favourably looked upon Ability to liaise and work in a calm, clear and concise manner with medical staff and respond to related enquiries in a timely manner  Highly organised and flexible work ethic, with high attention to detail  Ability to schedule and manage tight timeframes along with the capability to prioritise urgent tasks  Resilience to work in highly demanding and busy environment during peak periods  Excellent verbal, written and interpersonal communication skills with the ability to communicate effectively across a broad range of internal and external clients  Ability to confidently and professionally liaise with junior and senior medical staff.  Exceptional skills using the Microsoft Office suite, including Outlook, Word, Excel, Powerpoint Next Steps . .
