Primary Purpose The primary purpose of the Administration Assistant is to maintain the day-to-day running of Qube's Kembla Grange operation administration office onsite as well as undertaking activities associated with operations, safety, finance, payroll, and human resources.
In addition, processing of Accounts Payable invoicing and Accounts Receivable will be required.
Specific Responsibilities Coordinate day-to-day administrative requirements for the officeProvide administrative support to the Operations ManagersFoster positive working relationships with the workforce through communication, consultation, and negotiation.Foster positive external relationships with suppliersStationery maintenanceProcurement as required/requested via Mainpac and PeoplesoftAll facets of accounts payable and receivableLiaise with National Injury Management Advisor to maintain workers' compensation spreadsheetCheck fortnightly pays and report to PayrollBook flights for staff when required through EgenciaRecord and maintain accruals based on work throughout the month for AREntry of AP invoices into Mainpac and Oracle systemRecord and maintain accruals for AP based on information provided and processedReconciliation of accounts at month endOther ad hoc duties as required to assist with the finance functionMaintenance of all files and records associated with the roleIn addition, Zero Harm reflects our belief that we operate in an environment where risks are managed and that work does not impact our people's health and wellbeing.
