Position Title: Administration AssistantPurpose of the RoleYour role is to work as part of a cohesive team of MBS Country Services to provide holistic administrative support across Merck Healthcare ANZ.
Your core objective is to contribute to the achievement of business goals by proactively managing a range of administrative and support needs in a timely and communicative manner, utilising available tools and technology to deliver best practice in accordance with company policies and procedures.Key ResponsibilitiesTo support the Merck Healthcare ANZ with administrative, events and special requirements as necessary to achieve company objectives and deliver on key annual goals.
In addition, to support and collaborate with business service colleagues and ensure efficiencies and best-practice is used company wide.
Expectations of these areas include, but are not limited to:Administration SupportRelief ReceptionTeamworkProactively manage and deliver administrative and support functions with a high level of outputA high quality of work and a close attention to detailCreate and maintain databases, reports and spreadsheets and support financial processesManage the administration process for document, database and online systems in a comprehensive, proactive and accurate mannerMaintain filing and database systems including systematic archiving and filingBook events and activities - including obtaining competitive quotes to ensure value is achievedManage financial payments through to financeGenerate P2P's and invoices and report / file / reconcile / track accordinglyDemonstrate a strong work ethic to commit to completing and delivering tasks, assisting teams with problem solving and suggesting solutions for administrative issuesRespect confidential sensitivities within the role for individuals, customers and commercial impacts, dealing with such matters in a discreet and ethical mannerSupport relief reception and maintain a welcoming front office (responsibility co-shared across team)Manage visitors to Merck, issue security passes and log guests into visitors' logRespond to incoming calls, mail, email and fax communicationsWork as an engaged team member to continually embrace, refine and make suggestions on process improvements to better the working environment of the MBS Country Service teamCommunicate in an open, transparent and professional manner, respecting individual differences, cultural and work stylesActively participate as part of a dynamic and responsive structure of support management to the business ensuring effective project management and execution of business demands, both proactive and reactiveAttend team and company meetings as required, participating in and assisting with associated tasksFacilitate positive and transparent interactions with internal customers and third-party providersAdhere to all company Standard Operating Procedures, industry guidelines (eg Medicines Australia) and apply Merck Values and Code of Conduct in daily duties activitiesEnhance the brand value of Merck as an Employer of Choice and preferred partnerActively participate in the Merck Performance Management Process and Personal Development PlanPerform other administration functions and duties that may be assignedMinimum RequirementsMinimum 4 years Administrative / Customer Service / Secretarial experience within a dynamic and fast paced team environmentMinimum of 2 years' experience in an Events management supporting roleFormal qualifications or relevant study in Event Management, Project Management, Marketing or Communications will be well regardedProven ability to interact as an integral part of a productive and supportive teamHigh attention to detail with demonstrated quality outputDemonstrated ability to manage competing/changing priorities and demandsExperience revising, creating and devising procedures and processesExceptional communication skills, verbal, written and presentationAdvanced computer skills in Microsoft Office (Word, Excel and PowerPoint) essential.
Additional related software, IT systems and database experience highly advantageousExperience within the healthcare or pharmaceutical industry across a range of functions such as Education/Event Management, Sales, Marketing, Market Access, Business Development and/or Communications will be well regardedExperience with industry guidelines, medical terminology and/or medical databases will be received favourablyFluent in English
