In the role of Administrative Assistant you will support a high performing team with efficient and effective administrative support


Your key responsibilities will include Managing the administration of employment offers with a high level of accuracy and efficiency, including producing Letters of Offer and initiating the offer process via the ELMO HR system.   Administering the onboarding process through ELMO, including reviewing new starter forms, assisting with new starter set up across relevant HR systems including TechOne payroll, UKG T&A, Mulpha Academy training, Mulpha Benefits/Reward Gateway, IT set up, preparing welcome packs, and arranging entry surveys. Proactively monitoring and following up the completion of onboarding tasks such as new starter payroll forms and manager actions, to assist in creating a positive onboarding experience. Administering employment variations, including producing contract variation letters and coordinating any relevant notifications and/or system updates. Administering the HR reporting calendar, including probationary reminders, leave balance reports, accreditation and compliance reports, and communicating the information with managers. Completing the monthly HR reporting pack including employee data and commentary. This includes liaising with HR team members across the business. Assigning compliance training through the Mulpha Academy during onboarding and on an ongoing basis. Coordinating the monitoring of training completion including status reporting and following up incomplete training with managers and employees. Continuous promotion and marketing of HR support tools, including Bupa Corporate Health Insurance, Mulpha Benefits/Rewards Gateway, Telus Health (EAP), LifeBlood Corporate, Westpac Banking Corporate, etc. Assisting the Talent Acquisition team with the hiring process including posting ads, shortlisting, arranging interviews for hiring managers and reference checking, as required. This also includes sending the Current Vacancies on a weekly basis. ABOUT YOU Experience in administrative support would be highly beneficial, where attention to detail, an ability to multitask and reassess deadlines daily have been essential to your success Strong relationship building skills where you have enjoyed working with all levels of employees across a variety of business units pro-actively seeking information to ensure successful completion of tasks to meet deadlines Experience in working collaboratively as part of a high performing team that is essential in supporting the broader business in achieving its strategic objectives and goals Possession of a growth mindset, you will thrive on learning and reviewing processes and procedures to determine more efficient ways of doing what you/your team do Strong proficiency in Microsoft Office including Word and Excel MULPHA BENEFITS At Mulpha you can enjoy a range of benefits including;
