JOB DESCRIPTION Title: Administration Assistant, ILSC & Greystone College Perth (Part-time)

Start date: Immediate

Report to: Student Services Manager

DUTIES AND RESPONSIBILITIES Student Advising Supporting students on campus by advising on aspects such as cultural acclimatization and general academic issues Supporting student accommodation requests (i.e.
Homestay and student residence) Providing a special duty of care for under-age students with regular check-ins Facilitating academic and financial intervention and problem-solving Acting as a point of contact for walk-in students, conducting school tours and ensuring successful conversions Facilitating student extensions Creating and revising invoices and payment plans Issuing COEs and working with the school's database system Follow up on student lists related to outstanding documentation, payments, contact details. Supporting agents by answering phone calls, responding to questions about current student status and providing course information Administration tasks Supporting the reception team with their tasks when needed. Answering the phone, transferring calls, and taking messages. Preparing for new student intake (ELICOS & VET) Helping students with questions and problems and/or leading them to the correct department. Updating PRISMS site with relevant student information. Liaising with the Local and National Academic Teams for consultation on specific cases Generating and distributing weekly student intake reports with starters/returners Ensuring all relevant student information is accurately stored in the system (e.g.
intake tests (PROLAs)/assessment levels, enrolment documentation, special notes) Actioning student requests sent through e-Services or redirecting to appropriate teams Assisting the manager & academic director with assigned tasks Attending general staff and team meetings and training sessions as assigned Selection Criteria: More than 02 years of work experience in an international college and/or school. Excellent time management and ability to work under pressure in a fast-paced environment. Outstanding organizational skills Demonstrated customer service skills. Excellent communication and interpersonal skills Excellent technical skills (database, Microsoft 365, PRISMS etc.
) A passion for education and sensitivity to the cultural and language issues facing our overseas students. Ability to work independently and as part of a team, taking proactive action on urgent matters. Proactively taking the lead on tasks and collaborating with the team's workload. Fluency in written and spoken English is a must. Second language is a big plus (i.e.
Korean/Japanese/Thai) Working Hours: Part-time (20 hours per week), between Monday to Friday, 8am to 8pm.
Immediate start.

This position is based at the Perth campus.
It does not have a working-from-home option.
