Our Lady of the Southern Cross School has a vacancy for an Administration Officer.
The successful applicant will be an integral part of a strong and cohesive office team. The successful applicant will need to demonstrate a commitment to building positive relationships with students, staff and parents. Experience in the use of Melbourne Archdiocese Catholic Schools' ICON (Integrated catholic Online Network) administration system, would be an advantage but not essential. Experience in working in an office environment is an advantage and the position may be filled prior to the closing date should a suitable applicant apply.
Current first aid training is a requirement although the school can provide this training if necessary for the successful applicant.
This contract position is for the remainder of 2024 school year and 2025 with a strong likelihood of this being extended beyond 2025. The successful applicant will be required to begin as soon as possible and can decided through negotiation and with consideration to current work commitments. The work hours are from 8.30 to 4:00 pm Monday, Tuesday, Wednesday, and Friday.

Administration Officer - Role Description The Administration Officer is the first contact for any visitors to the school through reception and via phone and so needs to be welcoming and able to liaise with the whole community. Another function of the Administration Officer is to support and contribute to the smooth operation of the school office. They provide assistance to staff, families and students at their point of need. The Administration Officer works closely with the School Principal and Administration Team to support the smooth running of the school office and the school. An expectation of the role is to work collegially with all staff to best support the needs of the Our Lady of the Southern Cross Primary School community.
This role requires independence of action, time management, goal setting, problem-solving, judgement, planning and initiative within a collaborative and participative environment. They should be a positive role model for staff, striving to create a harmonious work climate.
Administration Officer Responsibilities: The roles and responsibilities of the Administration Officer are, though not limited to:
Update and monitor attendance roles and contact families for unexplained absences each day Receive and receipt monies payable to the school and follow through with appropriate banking proceduresBe co-responsible for the general administration of the school officeMaintain and update all student and family recordsMonitor sick bay and attend to ill students and administer first aidHandle confidential information in an appropriate mannerPerform daily reception functions including liaising with and managing inquiries from students, staff and families as well inquiries from outside of the immediate school community Administration Officer Duties: The Administrator Officer is required to:
Ensure the school office is opened each morning in a timely manner and is presented in a high standard Work as part of a collegial team and uphold confidentiality at all timesBe a part of a team co-operating with the Parish Priest, Principal, Staff and Parents Update the attendance online roll including late arrivals, unexplained absences and early dismissalsBe professional, courteous and approachable at all times in dealing with parents, visitors, staff and studentsUse effective communication channels through the school officeEnsure that accurate messages are distributed to the teachers and students as soon as practicable Greet as the first point of contact at the front desk for visitors to the schoolAnswer any phone calls promptly in a courteous mannerEnsure confidentiality at all timesReceipt and bank all monies in accordance with school policyTo ensure all contractors or visitors to our school sign a 'Child Safety Code of Conduct' and provide their Working With Children Check card before being released into our school. The contractor/visitor is required to do this the first time they enter the school each yearOther duties as directed by the Principal and Office ManagerChild Safety Expectations: Provide students with a child-safe environment Be familiar with and comply with the Our Lady of the Southern Cross child-safe policy and code of conduct, and other policies and procedures relating to child safety Exercise pastoral care in a manner which reflects the school's values Key Selection Criteria: Demonstrate an understanding of, and commitment to Catholic Education Possess highly developed interpersonal and communication skills including the ability to work collaboratively with all members of the school community Have excellent written and verbal communication skills Uphold professionalism and confidentiality at all times Able to prioritise a range of tasks and manage time effectively Expertise in using databases, the internet, email navigation and google suite A current Working With Children Check and National Police Record History Check and be a suitable person to engage in child-connected work
