Board Administration Assistant | Permanent full time | Melbourne CBD | $80,000 - $100,000 based on experience Your new company Working as part of a national financial services organisation, you will be an integral part of providing excellent service to internal and external stakeholders. You will be reporting directly to the company secretary, you will be a fundamental part of the administrative team. Your new role Are you looking to work with a collaborative team in a fast-moving office environment? If so, your role would include: Provide cover and back-up for switchboard and reception (including the setup of meeting rooms, the provision of refreshments for guests and assisting with any video conferencing), particularly during peak board reporting periods and providing cover for annual and sick leave. Responding to basic shareholder queries via telephone or via e-mail. Assist with the management and distribution of information to shareholders. Provide support for general office maintenance, including the upkeep of the staff kitchen and communal areas. Help the Company Secretary, including but not limited to using Diligent to collate and distribute Board and Board Committee meeting papers. What you'll need to succeed The successful applicant will be able to demonstrate the following skills and experience: Experience using a Board Portal (ideally Diligent) and/or some knowledge of the financial services sector would be highly regarded. High level proficiency and accuracy in computer software packages, including word processing, spreadsheets, and electronic mail. High levels of initiative, desire to learn, attention to detail, commitment to high quality outputs, great organisational skills, adaptability, and highly professional manner. Be able to multitask and prioritise work effectively. Have well-developed communication skills and be able to liaise with company directors. The ability to work full time in an office based in Melbourne CBD.
