Purpose of Role: The Administration Assistant provides essential administrative support to the Operations & MRTA Manager and their leadership team.
This role focuses on streamlining administrative tasks, enabling efficient day-to-day operations, and fostering effective coordination across key business activities.
Core Responsibilities: Manage and integrate calendars for the Operations & MRTA Manager and key leaders.Coordinate team travel, training schedules, and field visits.Organize team activities, including onboarding and engagement initiatives.Schedule, document, and track actions for key meetings (weekly/monthly).Coordinate site tours (e.g., for VIPs, JV partners, and community groups).Oversee team leave management, rosters, time-tracking, and absence reporting.Assist with HSSE incident reporting and follow-up.Provide reporting and data support for audits and management systems.Maintain organizational charts, distribution lists, and team communication platforms (e.g., SharePoint, MS Teams).Handle other administrative tasks as required by the Operations & MRTA team. Skills & Requirements: Demonstrated experience in similar administrative roles.Advanced skills in Microsoft Office (Word, Excel, PowerPoint).Familiarity with incident management systems and financial tools (e.g., SAP).Excellent communication, time management, and problem-solving abilities.High attention to detail and ability to work autonomously.Proactive, professional, and team-oriented mindset. Work Schedule: Monday to Friday (Office-based).
