OTT Administrative Assistant Full time position at Racing Queensland, Employer of Choice Winner 2023 Flexible work arrangements and generous employee benefits Northside location, free car parking, close to public transport Role Summary Racing Queensland has an exciting opportunity for an Administrative Assistant to provide effective administration support to the Veterinary Services & Animal Welfare (VSAW) team.The Opportunity The Administration Assistant will work collaboratively with the OTT team to provide support and administration to deliver a full range of high-quality services to Racing Queensland (RQ).Reporting to the Senior Animal Care Manager the key accountabilities are to ensure timely and accurate execution of all administrative duties, superior attention to detail and confidentiality of sensitive information to deliver agreed outcomes in accordance with RQ's strategic objectives. This includes routine and transactional administration support such as fielding business unit enquiries, filing, data cleansing/record management, preparation and distribution of basic documents, data entry, scheduling meetings and other general administration duties as required by the OTT team.What we expect from you You're comfortable in a fast-paced environment and always excited to rise to the challenge. Basic to intermediate skills in Microsoft Office suite of products, i.e., Outlook, Word, Excel and PowerPoint Experience and/or ability to provide administration support with limited supervision. Friendly and professional interpersonal skills and a customer-focused approach able to work with a broad range of people from varying backgrounds. Strong written and verbal communication skills. Ability to take ownership for own behaviour and work autonomously as well as being a team player to consistently meet performance expectations. What you will do, day to day Manage and coordinate the day-to-day administrative requirements of the VS&AW department, including calendar management, travel arrangements, accommodation, transport, expense claim reimbursements and credit card reconciliations. Assist with the development and communication of high-quality information and advice, including letters, communication, presentations, meeting minutes, workshop information and ad hoc reports, as required. Process all invoices for the VS&AW department in NetSuite and liaise with RQ's Finance and Procurement teams, as required. Ensure all duties are conducted in accordance with RQ and VS&AW procedures and guidelines, and maintain effective records, governance standards and control measures. Build effective working relationships with internal and external stakeholders and monitor and communicate stakeholder feedback to the EGM VS&AW.
