This role will be responsible for some of Oakbridge Lawyers' fundamental administrative tasks.
You will be the dedicated individual within the business unit that will be responsible for the vital administrative tasks across the department, and as such for the outcomes, timeliness, promptness, and accuracy of all such tasks and responsibilities.
You will need to ensure that you are in adherence to all forms of compliance with all and any relative legislative and regulatory requirements and act ethically. You will always conduct yourself appropriately within a high-performance culture, whilst demonstrating behaviours aligned with company values. This will be achieved through taking accountability, ensuring personal responsibility and continuous improvement to deliver efficiency, market leading customer satisfaction, and continuous process improvements.
Key Responsibilities:
Perform general administrative tasks, including filing, scanning, data entry, and data manipulation Handle daily post office duties, such as checking the company P.O. Box and street letterbox, and distributing mail Restock and manage office supplies as needed. Processing bulk legal work Maintain regular communication with clients to provide updates and address inquiries. Assist in preparing and organising bulk reports Help resolve any administrative issues that arise. Act as the primary point of contact for all incoming calls, ensuring professional communication. Coordinate the distribution of legal documents to relevant parties. Ensure effective communication with clients, lawyers, paralegals, and process servers. Ensure compliance with all legal requirements in daily operations. Prepare affidavits and other legal documents as required. Maintain confidentiality and handle sensitive information with discretion Manage incoming calls and emails from clients, providing timely responses. Oversee legal file management to ensure proper organization and accessibility Requirements
