Make an Impact with Us! Conscious Ground Organics is seeking an Administrative Assistant to join our team.
You'll play a pivotal role in supporting our organisation by handling key administrative tasks including invoicing, accounts receivables, payables and office support to ensure the business runs smoothly and efficiently.

What We're Looking For Experienced and Passionate Business Administration: You love the details and find joy in making processes run smoothly and have experience with accounting software. Proactive Problem Solver: You anticipate needs and act independently to ensure nothing slips through the cracks. Adaptability & Willingness to Help: You're ready to jump in wherever needed, from organising meetings to running weekly errands. Strong Communication Skills: You're great at managing schedules and ensuring clear communication across the business. Customer Service Orientated & Excellent Interpersonal Skills: You excel at building positive relationships and have a friendly, approachable communication style across phone, email, in-person, and social media interactions. Key Responsibilities: Organisational Champion: Maintain, streamline, and update systems, documentation, and filing processes to ensure the office is organised and efficient.
Keep the office tidy and ensure supplies are stocked. Calendar & Workshop Management: Manage team calendars, schedule meetings, and coordinate workshops.
Handle communication with attendees and ensure smooth scheduling and organisation for all workshops and meetings including taking notes. Accounts Support: Perform data entry, invoicing, accounts receivable, and payable using Xero.
Ensure accurate records and assist with collecting overdue payments while fostering positive relationships with clients. Reception & Enquiries: Act as the first point of contact, handling phone calls, emails, and in-person reception.
Respond to customer and sales enquiries, ensuring professionalism and clarity in all interactions, including social media and other communication channels. Sales Enquiry Assistance: Respond to produce and sales-related enquiries with knowledge of organic farming and our products (training provided). General Administrative & Ad Hoc Support: Draft letters, emails, and documentation as needed.
Complete regular errands (e.g., picking up post, groceries, stationary, supplies) and provide ad hoc support across the business to ensure smooth operations, maintaining a positive, solution-oriented attitude. Outcomes of the Role: Seamless Administrative Processes: Systems, documentation, and tasks are organised, efficient, and up to date, contributing to a well-structured office environment. Accurate Data & Accounts Records: All invoicing, accounts, and payments are processed correctly and reported on time, ensuring smooth financial operations. Well-Organised Meetings & Events: Team calendars are managed effectively, and workshops are scheduled and communicated with precision. High-Level Customer Satisfaction: Enquiries are handled promptly and professionally, leading to positive client experiences and satisfaction. Adaptable Support for the Business: The business runs smoothly with quick, efficient handling of ad hoc tasks, errands, and support for the Director and team. Confident Customer Support & Communication: Organic farming knowledge enables clear, helpful responses to sales enquiries, enhancing customer trust and satisfaction. Essential Skills & Experience: 2+ Years Admin Experience: Proficient in Excel with a proven track record in fast-paced environments. Accounting: Skilled in Xero, MYOB, or similar software for invoicing and accounts. Organisational & Time Management: Strong at managing systems, calendars, and meeting deadlines. Customer Service & Communication: Excellent interpersonal, verbal, and written skills for handling enquiries and drafting correspondence. Detail-Oriented & Proactive: Accurate in tasks, able to multitask, and anticipate needs. Problem-Solving: Resourceful and solution-focused.
