About the Role
As a hands-on leader with a passion for creating efficient and productive workplaces, you'll be responsible for overseeing the administrative function, managing facilities, and supporting internal stakeholders across all levels of the business.
Key Responsibilities Include:
Team Leadership: Manage and mentor the administration team, fostering a positive and productive work environment.
Facilities Management: Oversee the maintenance and operations of office facilities, ensuring a safe, clean, and efficient workplace. This includes managing vendor contracts, office supplies, and any necessary repairs or upgrades.
Administrative Support: Coordinate and streamline administrative processes, including scheduling, document management, and communications. Provide high-level support to internal stakeholders, including executive leadership and engineering and science teams.
Financial/Project Management Support: Manage project-related invoices and financial deliverables within our finance system.
Process Improvement: Continuously assess and improve internal administrative systems and processes to enhance efficiency and effectiveness, and educate colleagues on admin procedures and processes in line with company policies.
Budget Management: Manage the administration and facilities budget, ensuring cost-effective solutions and timely procurement of resources.
Event Coordination: Oversee the organisation of company events, meetings, and conferences, ensuring all logistical details are handled smoothly.
Office Culture: Lead initiatives in support of an inclusive office culture, such as charity morning teas.
About You
You'll excel in a role that provides ownership and accountability, allowing you to fully utilize your initiative and highly developed organisational skills. You will have:
Proven experience in administration and facilities management, ideally within a professional services or engineering environment.
Strong leadership skills with the ability to manage and motivate a small team.
A proactive, problem-solving mindset with a strong delivery and service focus.
Excellent organizational and multitasking abilities, capable of managing a high-volume workload in a fast-paced environment.
Strong communication skills, with the ability to collaborate effectively with internal stakeholders at all levels.
Proficiency in the Microsoft Office Suite.

An understanding of project management principles or experience in supporting project managers will be beneficial.
