Largely Aboriginal owned and staffed, we have mutually respectful relationships with Aboriginal Elders, Traditional Owners, employers, Government and service providers from Eastern Australia across to the West.A day in the life of our Administration and Executive Support Officer can include, but are not limited to the following:Welcome, assist with enquiries and direct customers and visitors with discretion, efficiency, and enthusiasm as first and last point of contact.Answering all incoming telephone calls in a prompt manner; determine purpose of call, and forward calls to appropriate personnel or department.Handling customer complaints and referral to the correct staff member.Providing administrative support to the Executive Leadership team.Processing expenses, reconciling invoices in PM/Expense Manager.Organise the maintenance of office equipment and premises (Manage supplier relationships and coordinate ordering of supplies).Support to wider business and teams as required e.g. admin for finance, marketing support, organising staff uniforms, monthly satellite phone testing.Monitor incoming emails, diary appointments and correspondence for the General Manager-Real Futures, assessing priorities, and handling or referring in accordance with directions.Maintain a current and comprehensive task list for the General Manager-Real Futures.Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information.On the General Manager-Real Futures' behalf, liaise with the federal government, the Commonwealth public service, Opposition and crossbench politicians, and other stakeholders to schedule and follow up meetings, and ensure good relations are enhanced and maintained.Coordinate a range of events and business meetings including organising itineraries, booking travel, accommodation, venues and catering.Advise and assist the General Manager-Real Futures and Leadership team with personnel issues, operational matters and general office policies and procedures.Develop and maintain systems for organisational effectiveness.Assist in liaising with a range of internal and external stakeholders as required.Provide support services to the Executive Team including, but not limited to the coordination of meetings, agendas, general administration, collating and distributing board papers, recording and distributing minutes and following up on appropriate matters arising.Work closely with the General Manager-Real Futures to identify, develop and implement strategies which align with the operational and strategic needs of the office.Anticipate needs regarding meeting papers, background material and preparation of agendas and papers for regular Management meetings.Work on Special projects that will help support the Executive Team.Knowledge/SkillsExperience in managing and prioritising workloads for Senior Executives.Ability to develop and maintain close stakeholder and client relationships on behalf of Chief Executive Officer.High degree of professionalism and judgement with the ability to maintain a high level of confidentiality.High-level written and oral communication skills and the ability to communicate and liaise effectively and sensitively at all levels, both internally and externally.Ability to balance conflicting priorities and to work to deadlines.Well-developed communication, consultation and administrative assistance and liaison skills appropriate to the position.Experience in supporting an Executive Team.Maturity, flexibility, discretion and judgement, and the ability to maintain the confidentiality of issues within the office.Advanced MS Office and Excel skills.Being a part of the Real Futures team, you will be provided with a wide range of benefits including:Personal and professional development opportunities.Rewarding and supportive culture.Birthday leave and diversity leave.Frequent training and support to excel in the role.Free Employee Assistance Program.Access to novated car leasing.Engage Wellbeing and Recognition Centre (Move, Munch, Money and Mind).To be considered you must...Have full working rights in Australia.Have a current driver's licence and a comprehensively insured vehicle.Complete an Australia History Criminal Check.Have a current Working with Children Check or willing to obtain a Working with Children Check before employment.Ability to work Monday to Friday - 8:30am to 5:00pm.Please note that people with a criminal record are not automatically barred from applying for this position, rather the relevance will be considered as it applies to our industry.About AKG:AKG is an innovative employment services, community, health and education provider, underpinned by a unique partnership model.
