About the role: The Administration All-Rounder provides flexible support to our office staff as needed. Our office team includes professionals in administration, accounts, service scheduling, coordination and planning. The role involves day-to-day assistance and filling in when staff members are absent.
Primary Duties: Primary contact for incoming phone calls and walk-ins.Maintaining and coordinating Technician inductions and spreadsheets.Administrative support to the General Manager, Sales Engineers, Admin|Accounts, Service Co-ordinator and Parts Co-ordinator as required.Inventory control (receipting and warehousing).Stock control.Picking Stock for Service work.Staff timesheets correlated and forwarded to head office (weekly)Managing Customer Insurance databases.Creating customer service quotations.Maintaining our customer's service asset register.Minutes of meetings, actions and follow ups.Additional Duties as Required: Ordering stock & breakdown parts.Following up customer purchase orders.Scheduling | Organising Maintenance jobs & Booking Technicians (when Service Co-ordinator not available)Ordering parts (when Parts Co-ordinator is not available)Completing Admin|Accounts tasks (when Admin|Accounts is not available)About You: Previous experience in a similar role. (preferred but not essential)Above average typing speed with accuracy. (40 - 50 wpm)Attention to detail and pride in your work.Great customer service skills with a pleasant phone manner.Flexibility in handling a wide range of tasks that can change daily according to customer and staff needs.Previous experience with Sage X3 business management software (preferred but not essential), Microsoft Office (Excel & Word), Outlook and SharePoint.Highly organised, able to prioritize and multitask with a focus on continual improvement.
