About the Role: As an acclaimed publicity firm that boosts brand visibility and credibility through strategic placements on global news sites, we are seeking an organized, detail-oriented, and tech-savvy Executive Assistant to support our dynamic CEO remotely. In this role, you will act as a vital facilitator, ensuring the seamless operation of our executive office while actively contributing to our mission of boosting client credibility, conversion rates, and search engine rankings.
Key Responsibilities: Provide comprehensive administrative support to the CEO, including managing a dynamic calendar, preparing and coordinating virtual meetings, and ensuring smooth communication with internal and external stakeholders. Prepare and edit internal and external correspondence, reports, and presentations, aligning with our firm's goal of enhancing brand authority and recognition. Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature, and determine an appropriate course of action, referral, or response. Utilize AI platforms like ChatGPT to streamline processes and improve efficiency. Maintain up-to-date records in our CRM (HubSpot), ensuring accurate client information for generating targeted publicity strategies. Handle sensitive information with a high level of confidentiality and discretion.
Requirements Proven work experience as an executive assistant or similar administrative role. Exceptional knowledge of MS Office and English proficiency. Outstanding organizational and time management skills. Tech-savvy with experience in utilizing AI platforms like ChatGPT. Familiarity with virtual communication platforms, office software, and applications (e.g., e-calendars), and comfortable working remotely. Excellent planning and time management skills. Ability to multitask and prioritize daily workload. High-level verbal and written communication skills. Discretion and confidentiality. Experience with CRM software, preferably HubSpot (but not essential).
