Job Description As an Administrative Assistant, you'll be the linchpin of this dynamic painting and maintenance company, playing a crucial role in optimizing day-to-day operations. You'll work directly with the owner, managing a diverse range of tasks that keep projects running smoothly and ensure client satisfaction. From coordinating with real estate agents to scheduling jobs and handling invoices, your organizational skills will be key to the company's success. This role offers a unique opportunity to make a significant impact on a growing business while developing your skills in project management and client relations.
Responsibilities Manage and organize invoices for completed projectsSchedule and coordinate painting and maintenance jobsConvert incoming inquiries into booked appointments efficientlyCommunicate professionally with real estate agents and clients via emailMaintain detailed records of job specifics, including quotes and deadlinesAssist in coordinating maintenance tasks and renovation projectsTrack and follow up on all incoming requestsSupport the owner in daily business operations and management tasksCollaborate with on-ground staff to ensure smooth project executionRequirements Exceptional organizational and time management abilitiesStrong written communication skills, particularly for email correspondenceProficiency in productivity software and eagerness to learn new systemsSelf-motivated with the ability to work independentlyMeticulous attention to detail and excellent multitasking skillsBasic understanding of business operations, ideally in service-based industriesAbility to maintain confidentiality when handling business and client informationComfortable working remotely from home in the PhilippinesAvailability to work 20 hours per week, aligned with Australian Western Standard TimeMale candidates preferred (as per client request)Willingness to commit to a long-term working relationship
