Schedule:

20 hours a week. Monday to Friday 8 AM to 12:30 PM 30 minute unpaid break

Job Description
As an Administrative Assistant, you'll be the backbone of our operations, ensuring smooth day-to-day functioning while supporting our creative team. You'll manage communications, conduct vital research on potential building sites, and assist with financial tasks. This role offers a unique blend of administrative duties and involvement in the property design process, providing an exciting opportunity to grow your skills in a fast-paced, creative environment.

Responsibilities
Manage and organize email communications, responding to basic inquiries and filtering important messages
Handle calendar management, scheduling appointments and coordinating meetings
Conduct thorough research on specific properties and building sites, following established company processes
Perform basic reconciliation and invoicing tasks using Xero accounting software
Join client meetings via Zoom, taking detailed notes to support project progress
Assist with general administrative tasks, supporting the team's efficiency and productivity
Requirements
Excellent organizational skills with the ability to manage multiple tasks efficiently
Strong written and verbal communication abilities
Proficiency in email management and calendar scheduling tools
Basic understanding of accounting software, preferably Xero
Ability to conduct online research effectively and accurately
Familiarity with Zoom and experience in taking comprehensive meeting notes
Attention to detail and ability to work independently in a remote setting
Enthusiasm for learning about property design and development processes
Familiarity with managing social media (IG) a plus #J-18808-Ljbffr
