Description This position provides high quality secretariat, governance and administrative support to the Academic Council and its Executive, as well as other high-level committees and sub-committees of the University.

About the office/school The University Secretary's Office promotes and supports good governance and decision-making across the University and supports statutory, regulatory and compliance obligations.
About the role Compose a brief, clear description of the position using simple language.
Describe the functions of the role, location, purpose and where possible how the role relates to the university's mission and objectives.
Key Responsibilities Act as Executive Officer to the Academic Council and its Executive, and other committees as directed, including: managing the organisation of the meetings and efficient and timely production of committee papers; monitoring and following up on outstanding actions following each meeting; ensuring good communication flow; facilitating information requested by members; developing and implementing an agreed annual schedule of items in accordance with the relevant Charter; and coordinating committee election processes.
Provide governance advice and support to Chairs, Executive Officers of academic governance committees, and senior staff on matters relating to Academic Council functions in line with University policy requirements.
As required, provide administrative support across the Secretariat, including meeting invites, preparation of annual meeting schedules, upholding and advising on Zoom protocols and online meeting security.
Qualifications, skills & experience Research and prepare reports as required, including updates to governance and policy documents.
Provide administrative support on a range of operational activities, requiring working in collaboration with key stakeholders and other business areas for development of portfolio activities.
Apply and maintain appropriate and consistent systems including document control and records management, to ensure currency and accuracy of data and consistent, high-quality standards of executive support services across the portfolio.
Qualifications, skills & experience A Bachelor degree in a relevant discipline and/or equivalent work experience.
Administrative, secretariat and/or governance experience supporting committees or executive functions in a complex organisation.
Demonstrated experience working in a fast-paced administrative environment within a university setting, or other relevant context.
Demonstrated knowledge/experience of governance processes within higher education.
Highly developed communication skills, both written and oral with the ability to build relationships, engage and foster collaboration.
Demonstrated proficiency in Microsoft Office suite, particularly in Excel to collate data for a variety of purposes including financial tracking.
Highly developed time management skills with an ability to manage concurrent detailed matters from beginning to end.
