Job Title: Accounting Assistant

Job Summary: The Accounting Assistant provides a variety of accounting and bookkeeping duties, including accounts payable, banking support, annual budget, and other basic tasks.
Hours of Work and Location: This is an in-office position, with a schedule of either Monday and Wednesday, or Tuesday and Wednesday. Hours will likely be 9:00 - 2:30.
Reports To: Director of Finance
Key Duties and Responsibilities: Accounts Payable: Verify invoices against purchase orders, prices and taxes, and monthly statements. Code invoices to different programs and projects, enter into accounting system, and process payments. Prepare, enter, and balance cheques. Prepare month-end accounts payable posting/filing. Verify and reconcile petty cash expenses for entry into accounting system and issue the cheques for top-up funds. Maintain historical records of all invoices, reports, receipts, and cheques by saving documents digitally as well as keeping paper copies organized in the filing cabinets. Credit Card Reconciliation: Perform monthly credit card reconciliations and verify receipts, manager approvals, and supporting documents against credit card statements. Bank Deposits: Prepare bi-weekly deposits, verifying daily donation lists. Prepare bi-weekly deposit statement for general ledger entry. Budget, Audit, and Other Support: Assist in preparation for annual budget and audit by producing summaries, reports, and analysis. Assist with other tasks and special projects as time permits and as required. Perform other related duties as required. Qualifications: Education, Training and Experience: Completion of a recognized office/business administration certificate or equivalent. This position requires a minimum of two years' experience in Accounts Payable. Job Skills and Abilities: Excellent computer skills and proficiency in Microsoft Office (including Excel and Outlook). Experience with Sage 300 Accounts Payable module preferred. The position requires an ability to organize detailed work, strong time management and communication skills, and attention to detail and accuracy. Ability to take initiative, manage your own workload and work both independently and as part of a team are critical. Additional Information: This position is required to maintain confidentiality regarding all accounting information. Start date ASAP. A written exercise will be required for short-listed candidates.
