Under the broad direction of the Manager, Student Enrolments, this position is responsible for a number of duties which may include supervision of staff, workload management, staff induction and training and provision of high-level support on a range of enrolment matters.The Student Enrolments team provides a centralised student enrolments service, including administration of enrolment processes and changes, related policy advice, systems support and publications.Duties and responsibilities include, but are not limited to:Staff ManagementOversee the day-to-day operations of the team under the broad direction of the Manager.Staff supervision including managing workloads, leave and casual staff rostering, escalating issues to the Manager (as required).Develop, implement and maintain effective staff training including induction, and procedural documentation for staff, including staff across the faculties.Undertake staff reviews and performance appraisals, identifying professional development requirements to ensure staff profiles and skill sets continue to meet the requirements of a changing environment.Operational management, planning and review.Co-ordinate the Removal of Course applications, enrolment changes and enrolment surveillance processes to ensure optimal use of available resources and timely finalisation of applications by:Allocating work to the team.Monitoring workloads and identifying resource requirements.Monitoring progress.Act as an escalation point for more complex matters, and for liaison with stakeholders in faculties, schools, and other organisational units.Identify opportunities to improve, streamline and automate business processes and improve service levels, and operationalise approved changes.Provide high level support in the implementation and operationalisation of system enhancements and system configuration related to Removal of Course applications and the Academic Calendar.Act as an interdepartmental liaison with other teams within ASD to gather additional information, enhance processes, stay informed about current issues and initiatives, and facilitate the resolution of complex cases.Administration and supportPrepare and/or oversee the preparation of recommendations for decision makers in relation to student matters in accordance with university policies, procedures, and relevant legislation.Provide expert information and high-level advice to students and staff on policies, procedures and legislation related to enrolment processes.Prepare, analyse, and interpret data and reports.Assist with internal, government and regulatory reporting, quality assurance and risk management processes as required.Provide secretariat support to committees and working groups as required.Any other duties as reasonably directed by your supervisor.About You A degree with at least four (4) years subsequent relevant experience; or extensive student administration and staff supervision experience or an equivalent combination of relevant experience and/or education/training.Demonstrated experience with coordinating high-volume and time-critical operational processes to ensure timely completion to a high standard.Demonstrated experience in the supervision of staff.Demonstrated analytical and problem-solving skills and the ability to produce management reports involving complex, high-volume data.Excellent communication skills including the ability to write clear and concise specifications and reports, and to liaise and negotiate effectively.Proven ability to develop, document and implement operational processes and business solutions including those suitable for streamlining through digitisation and automation.A thorough knowledge of the University's structure, policies, and procedures, in particular as they relate to Enrolments, or an ability to acquire such knowledge rapidly.The ability to work under pressure to achieve goals within agreed constraints and timeframes.Experience with Peoplesoft Campus Solutions and Business Objects will be highly regarded.You must have unrestricted work rights in Australia for the duration of this appointment and may be required to complete background checks including, criminal history and education checks.About UQAs part of the UQ community, you'll have the opportunity to work alongside the brightest minds, who have joined us from all over the world.Everyone here has a role to play.
