About the role: This position is situated within the Corporate Services Unit which is responsible for Legal, I.T, Finance, Risk Management, Property, Fleet and Project Management Office.
The Tenancy Officer is responsible for managing, maintaining, and providing quality support for tenancy services, ensuring that tenants receive the assistance and resources needed to maintain safe, affordable, and sustainable living conditions. The Tenancy Officer will work closely with tenants, service providers, and local authorities to uphold the policies and objectives of the organisation while ensuring compliance with housing regulations and associated laws.
The Tenancy Officer is a member of the Property and Fleet Department and reports to the General Manager, Property and Fleet.
Primary objectives: The position will manage all tenancy related functions required for McAuley Communities Services for Women, working in collaboration with McAuley support services and the Property Team to ensure effective tenancy and properties are maintained.
All associated functions required to support the organisation are undertaken to a high standard and meet required needs of internal and external stakeholders.
Key result areas and responsibilities: Tenant Relations: Act as the primary point of contact for tenants, responding to inquiries, complaints, and requests in a professional and timely manner. Conduct tenant meetings and maintain positive, cooperative relationships with tenants to ensure satisfaction and compliance with tenancy agreements. Provide advice and assistance to tenants regarding rent payments, tenancy rights, and responsibilities. Undertake new tenancy signups as per Residential Tenancies Act 1997. Housing Allocation & Lease Management: Assist in the allocation of housing, ensuring that properties are appropriately matched to applicants based on need, eligibility, and available resources. Oversee the leasing process, ensuring all documentation is accurate and compliant with housing policies and regulations. Conduct regular inspections of rental properties to assess maintenance needs and ensure they meet health and safety standards. Rent Collection & Financial Management: Monitor and collect rent payments, ensuring that tenants adhere to their payment schedules. Work with tenants facing payment difficulties to develop appropriate repayment plans and resolve arrears to sustain long-term tenancies. Maintain accurate financial records for all transactions related to tenant accounts. Property Maintenance: Work collaboratively with the Property Management Team to report maintenance requirements as directed by the General Manager, Property and Fleet. Compliance & Reporting: Ensure that all housing activities comply with relevant local laws, regulations, and organisational policies. Prepare and maintain accurate records of all tenant interactions, maintenance requests, inspections, and reports. Provide regular reports on tenancy, maintenance issues, arrears, and other housing-related metrics to management. Undertake reporting requirements to relevant government bodies, including Department of Families, Fairness and Housing, Housing Registrar, and other bodies as required. Conflict Resolution & Legal Actions: Manage and resolve disputes between tenants, neighbors, and other stakeholders in a professional manner. Work with internal legal team to initiate and follow through on eviction proceedings when necessary, ensuring compliance with legal requirements. As directed: The function is new to the organisation and will grow and change over time. The role will be directed and reviewed on a six-monthly basis. This is a Full-Time fixed Term 38 hours per week until 5.01.2027 opportunity based in South Melbourne, VIC within our Corporate Services Program. The position reports to the General Manager, Property and Fleet. Key selection criteria: The incumbent will have:
Essential: Previous experience in tenancy management, property management, or a related field. Strong knowledge of residential tenancies act and associated legislation. The ability to manage rental incomes and prioritise payments against accounts. Previous experience in managing reporting requirements to external bodies (DFFH, VHR, Other). Excellent interpersonal and communication skills, both written and verbal. Ability to manage and resolve conflict effectively and professionally. Strong organisational skills with the ability to manage multiple tasks and priorities. Proficiency in Microsoft Office Suite and housing management software (Chintaro). Ability to work independently and as part of a team. A knowledge and understanding of Aboriginal culture and values and an awareness of the current issues faced by Aboriginal children, young people and their families. Desirable: A qualification in Housing Management, Social Work, or a related field. Previous experience in working with vulnerable populations or social housing.
