About the role and team We have an exciting opportunity for an experienced Legal Assistant / Office Co-ordinator to join our Darwin office.
The main focus for this role will be to manage the day-to-day operations of running the office and to provide administrative support to our lawyers.
Our growing Insurance practice has approximately 80 people located across Darwin, Perth and Adelaide. We are a defendant insurance legal team working across both General Insurance and Statutory Insurance matters with our Darwin practice having a focus on workers compensation.
You will be responsible for:
Managing the Darwin Office Services function; Responsible for managing the Darwin Office budget, processing and approving any office invoices for payment; Working with building management team on services, security, and access to the building; Ensuring the office is kept clean and well-maintained, and in working order; Co-ordinating maintenance/cleaning for the Darwin Office where required; Liaising with suppliers and ordering office supplies for the Darwin Office; Working with the Facilities team to ensure all equipment for meeting rooms and front of house are in working order; Being the first point of contact for critical incidents for the Darwin Office; Arranging flowers and gifts for partners and employees; and Project work as required. Legal Assistant Drafting of documentation as required; Performing conflict searches and file opening; Maintaining extensive electronic filing for all incoming and outgoing correspondence (including splitting & saving documents in PDF format); Preparation of all monthly billing; General file maintenance including closing and archiving; Diary management including listing of key dates (court hearings and due dates); and Other ad hoc tasks as required. About you You will ideally have the following skills and experience:
Similar experience ideally in a professional services environment; Experience working a document management system (eg Worksite/Filesite would be highly desirable); Experience with large MS Word and PDF documents; Previous experience with billing (eg use of Aderant highly desirable); Service focussed approach; Excellent organisational and planning skills; Strong interpersonal skills; Strong verbal and written communication skills; Strong attention to detail; Given the role has a focus on being responsible for managing the day-to-day operations of running the office, we will require you to be on-site to perform the role.
