You will anticipate needs, be proactive and prioritise tasks so that the GM can focus on members, strategy and operational performance.
Responsibilities & Accountabilities: Assess, analyse and prioritise requests to facilitate the optimal use of the General Manager's time.Pro-actively address correspondence and information management including drafting and distributing responses, and monitoring progress, to facilitate the timely flow of appropriate information between parties.Address enquiries to the General Manager efficiently and professionally, ensuring high priority or sensitive enquiries are communicated to them or other relevant staff.Provide the General Manager with efficient executive, secretarial and administrative support; including diary management, travel management, expense claims processing, organise attendance at conferences and meetings, and collate required documentation ensuring all related organisational processes are proactively managed.Assist the General Manager to prepare for meetings; prepare and circulate meeting agendas, papers, and materials; prepare presentations, produce high quality meeting notes/minutes; and coordinate completion of meeting action items.Work closely with the state management teams to ensure ready information flow and distribution of critical information and to also confirm member visits on a regular basis.Develop and implement effective administrative practices, systems, and procedures to optimise efficiency and support the achievement of quality outcomes for the unit.You will have: Minimum of 5 years' experience providing executive support or the ability to demonstrate the behaviours that will lead to being productive and skilled in executive support.Demonstrated interpersonal ability, which fosters trust, openness and respect and maintains effective working relationships.Possess strong verbal communication and interpersonal skills with a service first focus across all levels of an organisation.Highly developed time management, planning and organisational skills with the ability to manage conflicting priorities and deadlines, and to juggle multiple tasks at once.Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.A desire to work in a culture of service where members are always prioritised.High degree of ICT proficiency and skills in all Microsoft Office suite and presentation software and video conferencing tools.A sense of humour, with a strong work ethic that would evidence commitment to ACCPA values.We require federal police check as an essential selection component for this role.
