Reporting to two Assistant Secretaries, the APS4 Executive Assistant (EA) is responsible for providing high level executive administrative support and office management.The EA is the primary point of contact for the office and must always demonstrate and uphold the Australian Public Service (APS) Values.
The EA will work collaboratively with the JSA executive and executive support team to provide advice and assistance to internal and external stakeholders to support the broader priorities of JSA.Our ideal candidate will be able to hit the ground running.
They will be an effective communicator, have strong administrative and organisational skills, good attention to detail, be able to manage competing priorities and manage work accordingly.
The key duties of the position include:Provide support to senior executives – manage email inboxes and diaries, schedule meetings, prepare day packs and meeting papers, draft correspondence, prepare presentations, organise and provide assistance with events, undertake secretariat functions as needed and other administrative tasks and ad hoc activities as required.Coordinate and assist with workflow management for a senior executive service officer – task tracking and reprioritising to ensure tasks are completed according to priority and deadlines.Provide support to the branch and division – understand the role and functions of the branch and JSA and manage coordination activities on behalf of the manager.Conduct financial processes within departmental policy – including booking and managing travel, procurement, ordering stationary, paying invoices, credit card payments and acquittals, as well as assisting branch staff with these activities as required.Work collaboratively with other JSA EAs to ensure ongoing executive support is available across the senior executive team and to identify and support business/process improvement initiatives.Respond to moderately complex operational and administrative enquiries, liaising with internal and external stakeholders and assisting with the resolution of moderately complex issues.Please note, under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the APS unless the Agency delegate has agreed, in writing.
This is a designated security assessed position.
The successful candidate will have the ability to obtain and maintain a NV1 security clearance.
