About the roleWe are looking for a dynamic and highly organised Studio Coordinator to review and schedule incoming design tasks in our studio, which comprises over 20 designers. This exciting role involves close collaboration with our Director of Design and our project teams across Australia and New Zealand. You will foster trusted relationships internally to ensure timely outcomes by effectively managing resources, deliverables, and deadlines, while also ensuring the smooth operation of the studio. This position is ideal for someone with strong communication and organizational skills, as well as the ability to maintain a calm demeanor in a busy office environment. Experience in design is not required.
Key ResponsibilitiesReporting to our Director of Design, the primary responsibilities for this role include:
Receiving and triaging design briefs from our wider internal project teams in Australia and NZ, and assigning these to relevant designersScheduling and monitoring progress ensuring they are running on program whilst keeping internal team members updated with the projectUsing our in-house project management software, keeping track of project statuses, manage workflow and resourcing of projects to keep track of task dependenciesBuilding effective relationships with our internal team members across the businessFacilitating weekly team meetings/briefingsPreparing monthly reporting Skills and experienceHighly organisedExcellent communication skills, both written and verbal as well as a good listenerGreat interpersonal and relationship management skills Proficient negotiation skillsPassionate about bringing people together and aligning teams to a common goalAn appetite for working in a fast-paced environmentPassionate about planning and processes Develop project programsSupporting with bid writing and pitch development for new projects/businessOrganising team events and facilitating team initiatives in the design team and across the businessSupporting with end of month reporting and timesheet admin CultureDiadem thrives on a culture that collides strategic, creative and technical expertise.
