Parklife Metro JV is leading a transformative Metro project connecting St Marys to Bradfield, linking with the new Western Sydney Airport that is currently under construction. You will be responsible for providing administrative support, which may include managing the day-to-day activities of the team, inclusive of diary management/scheduling, communications, reporting, records management, procurement, accounts/invoices, travelling & logistics, and purchasing. Assistance may also be required in client relationship management including events and management meetings.
Employed by Webuild, the role on offer is a full-time role based on-site, allocated to one specific site team & location (St Marys or Badgerys Creek).
This is an ideal next step opportunity for someone who has a strong background in Site or Project Administration and has the ability to work efficiently & effectively with many stakeholders.
Responsibilities: Management of stock and stationary on-site - including stock management and ordering as requiredEvent and meeting management for the construction team you are allocated toMaintain docket registers in Excel spreadsheets accuratelyReceipt dockets for PO's in SAP/Virtual Superintendent in a timely mannerFile dockets by supplier until matched with invoicesClear old dockets from folders where invoices have occurredReconcile dockets and invoices and resolve any issues (docket missing)Balance invoices with docketsProcess invoicesFile invoices by supplier until sent to archivesAwareness and assisting the management of Cost Codes for the sitePrepare monthly listing of outstanding receptions for the Cost ControllerCreate Credit note requests for each invoice as requiredClose out old Credit notesAmend Purchase Orders as requested by EngineersCreate and Update Purchase orders for Open Orders as requiredPrepare ADHOC reports as requiredProvide feedback to Commercial Managers or Project Managers regarding any processes and recommend improvementsMaintain good relationships with internal stakeholders including Project Manager, Engineers, Commercial Managers etc.Maintain good relationships with external stakeholders including subcontractors, supplier providers etc.Escalate invoice rate discrepancies to Engineers or Commercial Managers when requiredResolve specific invoice issues with AP as appropriate Criteria: Bachelor's degree in business administration or a related field (preferred).2+ years experience as a Site Administrator or in a similar administrative role on large construction or infrastructure projects.Experience using Virtual Superintendent (VS) is desirable.Strong organisational and multitasking abilities.Excellent communication skills, both verbal and written.Proficient in Microsoft Office Suite and document management systems.
