We currently have the opportunity for an ITDS Service Delivery Coordinator, with a focus on IT Financials and Vendor Management, to join the ITDS team on an ongoing basis. Reporting to the ITDS Service Delivery Manager, the role is responsible for supporting ITDS with daily operations in IT Contract Management, Vendor Management, and Procurement. The role coordinates the day-to-day activities of IT contract management and procurement, including the review and operational coordination of orders, vendor contracts, renewals, terms and conditions, lead times, invoice payments, and cost management activities to align with budgetary requirements.
About the Role
Responsibilities include:
Work with ITDS on contracts, vendor performance activities, and procurement.Work with ITDS to manage and monitor ITDS budget and expenses, reviewing any anomalies.Maintain an overall view of budget allocations in agreement with the Head of ITDS.Create and process Purchase orders to support the effective operations of ITDS.Process all invoices for ITDS within agreed timeframes.Comply with the UTS College procurement policy and coordinate the management of ITDS procurement processes including formal requests for information, pricing, tender, etc. from vendors.Manage all contract documentation and ensure this is signed by appropriate delegation authorities and recorded in the UTS College Contract Management System (CMS).Work with ITDS management to ensure all ITDS vendors meet their contractual obligations, including any vendor performance reports and ensure regular review meetings are conducted with ITDS vendors.Manage contract renewal processes and ensure sufficient time is available for contract negotiations.Work with key stakeholders across the organisation, including legal and finance, to ensure all ITDS contracts and vendors deliver their contracted services.Coordinate vendor activities across ITDS to include tracking and monitoring vendor performance reports, scheduling and minuting regular vendor reviews, and managing the renewal of vendor contracts.About You You will have prior experience in:
Dealing with vendors, commercial, and procurement activities.Bachelor's degree in a relevant field.Experience working with third-party suppliers in an IT capacity.Familiarity with purchase orders, contract terms & conditions, etc. will be an advantage.Demonstrable knowledge of finance processes, especially purchase orders and financial budgets.Demonstrable skills in researching information and solving problems for financial and asset management.Demonstrable knowledge of financial systems.Demonstrable ability to understand legal contracts and procurement practices.Experience using a variety of PC software, such as Microsoft Office Suite, especially Microsoft Excel.Knowledge of ITIL or other IT Service Management (ITSM) frameworks.Good written and verbal communication skills, including the ability to interact with vendors for procurement activities.What UTS College has to Offer!
