Our opportunity
As the
Senior Lease Administration Manager , be accountable and provide efficient and professional support to ensure the delivery of final form leases and all other relevant documentation across Commercial Property.
Oversee the coordinated activities of the Lease Administrators in preparing HOA Documentation, Execution and Safe Keeping Process.
Your responsibilities will include:
In Partnership with the National Lease Administration Manager, oversee the Commercial Property Lease Administration Division to deliver:
Minimised time and efficiency between the instruction and execution of documentation
Manage relationships of key internal (Legal, Leasing, Real Estate Operations) and external stakeholders
Ensure Lease Administration Managers and Lease Administrators are operating within KPI's and appropriate time frames
Mentor Lease Administrators in ensuring efficient and controlled processes surrounding preparation of documentation, execution, and safe keeping.
Execute Lease Administration Management Responsibilities:
Review signed Heads of Agreement (HOA) and any counter offers to ensure comprehensiveness, consistency and accuracy.
Accurately and efficiently prepare the Lease Approval Form (LAF) with the terms of the retailer's offer fully documented and in accordance with Mirvac's policies and procedures, and circulating to internal and external stakeholders for approval.
Active management of relationships and instruction processes with external lawyers, responding to any queries.
Review Disclosure Statements to ensure they incorporate all terms and conditions in the approved LAF, with timely issuance to retailers once finalised.
Work in collaboration with Retail Leasing Executives, asset teams, Tenancy Coordination Managers and Retail Design Managers to respond to retailer amendments and queries.
Undertake due diligence of leases of affected retailers at assets undergoing refurbishment works and preparing and coordinating notices where required.
Work in collaboration with Asset Management and Tenancy Coordination teams to ensure the lease and ancillary documents are received prior to the retailer's commencement of trade.
Drive improvements and maximising efficiency of Lease Administration processes and reporting.
Where required, proactively assist with general lease enquiries from retailers/operators, asset teams and Retail Leasing Executives.
Customers (Internal & External Clients):
Develop and maintain strong professional relationships with owners and JV Partners, and all other Mirvac Departments to assist with clear communication and the delivery of expectations, goals, and objectives.
Legal:
Be fully conversant with the commercial and retail leases act(s) and ensure that all negotiations comply with the act and other relevant legislation.
Your point of difference
5-8 years previous lease / property / legal administration experience.
High level of operational, lease and contract management skills and strong negotiation skills is key
A proactive and self-motivated approach with the ability to solve problems and resolve issues as they arise
Can do attitude and the ability to work independently or as part of a team productively and efficiently
Strong ability to multi-task and think outside of the box
Exceptional administration, time management and organisation skills
High attention to detail
Commitment to quality, professionalism, confidentiality in all tasks.
