Primary Objective:
Provide a high standard of proactive executive secretarial support to the Chief Executive and contribute to a diverse range of corporate activities to support the executive team to achieve departmental goals.
Context Statement:
DCDD provides information and technology services and shared corporate services to support NT Government agencies.
The Executive Services team provides secretariat and executive support, management of ministerial and cabinet processes, coordinates strategic reporting and intra-agency meetings, and manages Agency business operations.
Key Duties and Responsibilities:
First point of contact and lead responsibility for the daily organisation of the Chief Executive, including complex diary management, scheduling meetings and events, preparing and quality checking documentation, and arranging travel.
Monitor the timely preparation of information, including meeting tight timeframes and ensuring quality and security control of high-level documentation.
Ensure effective flow of information, requests, and communications are accurately recorded and monitored using the records management system and other reporting systems.
Provide advice and guidance to staff on correct executive administration procedures and maintain standard operating procedures.
Awareness of ministerial briefings, Cabinet correspondence, and parliamentary processes.
Foster a positive workplace culture through exemplary practices and provide coordination and leadership to the department's administrative network.
Selection Criteria:
Essential:
Demonstrated experience in providing a high standard of executive secretarial support services.
Highly developed interpersonal skills, with demonstrated ability to communicate professionally and work collaboratively.
Demonstrated leadership capability to provide direction and guidance to others.
Demonstrated responsiveness and agility in dealing with multiple projects and deadlines.
Excellent levels of literacy and proofreading skills with high levels of integrity in managing sensitive information.
High level of proficiency in a range of computer applications and complex document preparation.
Demonstrated work ethic and attitude emulating DCDD values.
Desirable:
Current knowledge of the agency's functions and policies.
Ability to work extended hours if required.
