We have an exciting opportunity in the Legal Services Administration team. The Legal Services team are specialists who provide independent legal advice and representation related to the construction, commercial and public administration activities of the department and assist in the development of legislation.
As Senior Business Support Officer you will be part of a small team providing administrative support to the Legal Services Unit. You will ensure the smooth operation of the day-to-day practice by providing corporate governance and senior business and administrative support, including managing and monitoring workflows, human resources and financial management, and reporting. Furthermore, the Senior Business Support Officer will play a vital role in driving continuous improvement within the practice, including assisting in the design and implementation of a practice management
What you will be doing:
• Support the Practice Manager in various business support activities and projects to ensure smooth and efficient operations.
• Coordinate the unit's human resource activities, including recruitment, onboarding, and performance management.
• Monitor and report on the unit's financial performance and budget. Partner with the Practice Manager to forecast resource requirements for peak periods or special projects.
• Support the optimisation of workflow processes to enhance overall efficiency and productivity within the practice. Prioritise tasks and coordinate workloads in coordination with practice areas.
• Coordinate Legal Services' corporate governance activities including risk management, business continuity, annual report, State Budget and Estimates processes on behalf of the unit.
• Develop and implement policies and procedures to enhance operational efficiency, regulatory compliance, and risk management. Ensure adherence to established policies and guidelines by the administration support team.
• Support the implementation of the practice management system to streamline operations and enhance overall performance.
• Act as a first point escalation for the administration team, offering guidance and assistance to resolve operational issues and challenges.
• Provide coverage and support for the Practice Manager during periods of leave of absence.
• Liaise with other business support personnel to ensure smooth coordination and execution of tasks.
• Work with the Practice Manager and Administration team to consistently review systems and processes for currency and improvement.
What we are looking for:
• Proven ability to set priorities and organise yourself to meet deadlines, taking personal responsibility for meeting objectives, including the ability to recognise and resolve issues impacting on the achievement of desired outcomes.
• Experience in implementing or assisting with implementing IT systems (e.g.: legal practice management system or equivalent) and software.
• Proven ability to self-manage priorities and to accurately complete work within required timeframes and to quality requirements.
• Demonstrated tailoring of your communication style and language according to the audience's level of knowledge, skill and experience in all forms of communication the role presents.
• Rigorously research and analyse information relevant to tasks and show judgement in decision making.
Mandatory requirements:
• There are no mandatory qualifications for this role; however, experience in assisting with implementation and maintenance of legal practice management system or equivalent would be highly desirable.
