About the vacancy: Receptionist/Office Assistant
We are looking for a receptionist or Office Assistant with demonstrated experience in reception or customer service, or previous experience in office administration.
Main Duties / Responsibilities
Receptionist
Respond to public enquiries by managing incoming and outgoing telephone callsReceive, welcome, and safely manage the entry and exit of client families, contractors and visitorsMaintain the reception and offices areas by ensuring the environment is clutter-free, clean and no risk of trips and falls.Capture Data into various organization systemsPerform administrative varied tasks such as binding, laminating, scanning etc.Complete opening and closing procedures for the Reception areasProcurement
Provide oversight of the centre including centre supplies such as kitchen and activities suppliesTraining Room Support
Manage Staff training schedule and waiting list (communicating with employees and providing updates on available trainings)Possess above average computer literacy to help employees login into computers and accessing online training modulesReferring incoming calls to the relevant personAct on all enquiries promptly and efficiently.Meeting and Training Rooms
Assist in preparing and setting up conference/training/ meeting rooms of NDIS participants group events.Schedule appointments with various centre stakeholdersCoordinate catering for meetings and eventsCommunication
Be professional and polite in all communicationsWrite and speak clearly and respectfullyQualifications / Requirements
Formal qualification in Business/Office Administration is desirable, but not essential.Current Worker Screening checkDriver's licenseWillingness to maintain confidentialityAbility to provide feedback to management on any issue or concernPolice clearanceExperience
1 to 4 years of previous experience working as a receptionist or client facing administration role is highly desirableWorking with communication systemsWorking with various cultures and abilities (preferred)Knowledge of continuous quality improvement principlesDemonstrate understanding of strategies to deal with difficult customers or clients.Willingness to learn about NDIS and NDIS practice standardsSkills
